 The Administrative &amp; Operations Assistant is a foundational role on our team. Position Summary

The FPO Ambulatory Facilities Administrative Assistant coordinates all the day-to-day administrative support for the Ambulatory Facilities Operations Office. In addition, the administrative assistant manages assigned projects/initiatives and, as a member of the facilities support team, ensures that service level agreements are met and facilities issues are addressed promptly and timely.

Responsibilities

Essential Duties
<ul><li>Coordinate meetings, appointments, and conferences for Assistant Director and staff as needed.</li>
<li>Work closely with CU Departments, NYPH Facilities, and Environmental services to ensure the professional upkeep of ColumbiaDoctors spaces and make sure all issues/requests are processed in a timely manner.</li>
<li>Attend meetings and assist with the determination of project requirements.</li>
<li>Coordinate and lead walkthroughs with departments and vendors as needed.</li>
<li>Coordinate internal resources and third-party vendors for projects.</li>
<li>Coordinate the processing of purchase orders and project contracts.</li>
<li>Work closely with Purchasing and ARC team to verify that all project documents are processed accurately and in a timely manner.</li>
<li>Communicate relevant project information to requesting departments, vendors, and the NYPH facility team as needed.</li>

U.S. AutoForce, a division of U.S. Venture, Inc., brings together more than 100 years of experience as an industry leader in the distribution of tires, undercar parts, and lubricants to independent tire retailers, auto repair shops, and automotive dealerships.
 
 
The Operations Administrative Assistant performs varied duties such as cash handling, facility filing, personnel onboarding, and support the operation directed by management. Must be able to follow procedures with minimal direction and work independently, utilizing professional judgment and interpersonal skills. 
 
The schedule for this position is Monday-Friday from 6:00am to 2:30pm. Occasional Saturdays (7:30am-12:00pm)<h2 class="jobSectionHeader">
JOB RESPONSIBILITIES</h2>
Admin Responsibilities<ul><li>
Perform varied duties such as screening mail, maintaining COD files and records</li><li>
Utilize a computer to generate general correspondence, reports, and spreadsheets</li><li>
Assist with new hire onboarding</li><li>
Assist with team member's system logins</li><li>
Verify Driver collection bags</li><li>
May assist with covering dispatch and will call, including breaks and lunches</li><li>
Daily deposits, collect past due accounts, and assist with clearing COD&rsquo;s (Cash on Delivery)</li><li>
Maintain office and cleaning supplies</li><li>
Willingness to provide moderate housekeeping of office and breakroom</li><li>
May assist with planning company activities, i.e. &ndash; wellness fairs, job fairs, facility events</li><li>
May run errands and make daily bank runs for deposits</li><li>
May assist with inventory and ECOMM needs</li><li>
Adheres to all company policies, procedures, and business ethics codes</li><li>
May need to travel occasionally to other site locations for training and observation</li><li>

Dispatcher Responsibilities
<ul><li>Ensure drivers complete all required daily paperwork: Driver logs, pre and post-trip inspections, and fuel receipts.</li><li>
Assist with will-call customers</li><li>
Assist with reviewing Samsara driving alerts</li><li>
Track drivers on Elite and close out all routes and open orders daily</li><li>
Train drivers on PIV, tablet, and safety expectations (may be involved in road tests)</li><li>
Complete all routing requests before scheduled cut-off times</li><li>
Backup for Dispatch Supervisor and EComm</li><li>
Assign lines to be pulled by material handlers for will-call and metro routes</li><li>
Answering phone calls in a professional and timely manner</li><li>
Communicates effectively with call center, sales, customers, drivers and other locations</li></ul>

Physical Demands and Work Environment
Physical demands: While performing the duties of this job, the employee must be qualified as to visual, auditory, physical, and mental ability to operate equipment safely with or without reasonable accommodation. The employee must frequently lift products weighing up to approximately 50 pounds, and occasionally up to 80 pounds. Occasionally exert a pushing force up to 40 pounds. Handling of commercial tires (e.g., rolling, destacking, team lifting) conduct team lifts or use mechanical equipment. 
Protective equipment required: steel or composite toe boots, safety vest, safety harness , seatbelt, SRL (self-retracting lifeline). All equipment is provided by U.S. AutoForce except for steel / composite toe boots. All team members must be able to adhere with safety and manufacture guidelines for compliant use of all protective equipment. 
Work environment: While performing the duties of this job, the employee may be exposed to weather conditions prevalent at the time. The noise level in the work environment is usually moderate. Fumes associated with tires and occasionally car parts and lubricants prevalent.<h2 class="jobSectionHeader">
QUALIFICATIONS</h2><ul><li>
A high school graduate plus 1 year administrative/office experience</li><li>
Excellent organizational skills and attention to detail</li><li>
Data Entry and proficient in Microsoft Office Suite</li><li>
