POSITION: Seasonal Reservationist

JOB SUMMARY: The Seasonal Reservationist is responsible for assisting in the execution of the daily vacation rental management practices for Team VP’s Chautauqua and Ellicottville destinations. This includes managing reservations, supporting owners and guests, tracking rental/tenant accounts, coordinating vendor scheduling, and fostering strong relationships with Team VP property owners and tenants. The role also supports marketing efforts by maintaining brand consistency and collaborating with the Corporate Marketing team. Exceptional customer service, organizational, and computer skills are required, along with a strong desire to contribute to a collaborative team environment.

ESSENTIAL RESPONSIBILITIES AND DUTIES:

  • Assist and execute daily rental management operations in the Chautauqua and Ellicottville vacation rental destinations
  • Assist in the management of third-party booking sites (Airbnb, VRBO), including reviews, reservations, and guest messaging.
  • Handle all aspects of making a reservation
  • Provide information on availability of rental options, rates and amenities
  • Counsel guests on properties that fit their needs, secure reservation
  • Enter reservations into system
  • Provide Guests with information on all rental policies and be prepared to enforce them
  • Offer Guests extra services including ARDI, LCO/ECI
  • Mail/email lease agreements and additional information to guests
  • Process payments, enter data and assure all payments are made prior to arrival
  • Conduct regular property visits to ensure quality and service standards are maintained.
  • Answer phones, route calls per instructions, take messages, forward calls to voice mail, cell phones and other offices
  • Check-in and check-out guests
  • Discuss owner questions, concerns and complaints; problem solve and resolve issues; document correspondence and other communications with owners
  • Work closely with Agents to further establish consistent communications between Rental and Sales teams
  • Assist in the coordination of housekeeping, maintenance, and office space needs and general duties
  • Process checks in Barefoot system

QUALIFICATIONS

  • High School Diploma or equivalent required
  • Associates/Bachelors degree preferred
  • Ability to manage high call volume
  • Desire to exceed customer service expectations
  • Must be outgoing and have an intense passion to provide excellent customer service
  • Flexible schedule and be able to work weekends
  • Valid Driver’s License and the availability of a personal car for work use is required
  • Must possess excellent verbal and written communication skills
  • Professional and have strong organization skills with the ability to multi-task
  • Desire to assist other team members and customers
  • Ability to utilize a computer and knowledge of computer functions (Microsoft Excel, Word, Outlook, Internet)

Pay: $18.00 per hour
