Description / Position Overview

SEASONAL - Wildfire Mitigation Admin Support

In this position, you will provide program support in an office and field setting (as needed) for the Colorado Springs Fire Department’s Wildfire Mitigation Section.

This is a seasonal (at-will) position with benefits limited to those required by applicable state and federal laws, which include Worker's Compensation, Medicare, Unemployment Insurance, and PERA (Public Employees' Retirement Association).

This position is subject to budget required furloughs to be implemented in the 2026 calendar year, and any furloughs subsequently approved.


Job Type:
Seasonal. Approximate dates of employment are from April – December. Total hours worked not to exceed 1,500 annually.

Hours: Monday - Friday, 7:30 am - 4:30 pm (some nights and weekends depending on department needs)

Work Location: Fire Department Complex, 375 Printers Parkway, Colorado Springs


Essential
Functions - the basic job duties an employee must be able to perform:

Office setting essential job functions:

  • Provide clerical and customer service support for the Wildfire Mitigation Section to include promptly answering public phone calls and responding to public inquiries
  • Register citizens for various Wildfire Mitigation Section programs
  • Schedule appointments for the Wildfire Mitigation Section staff members
  • Help manage Wildfire Mitigation Section staff members calendars (anywhere from 1-8 calendars)
  • Track Wildfire Mitigation Section paperwork for chipping, stipends, grants, etc.
  • Data entry for the Wildfire Mitigation Section
  • Monthly report tracking for Wildfire Mitigation Staff members
  • Assist with grant tracking and reporting
  • Assist with budget data entry and reconciliation
  • Assist with invoice processing and tracking
  • Assist with tracking wildfire mitigation code updates and items related to code
  • Chipping sign prep for the Chipping Program
  • Draft memos, letters and update documents
  • Attend HOA/neighborhood meetings, after hours, to assist with educating residents on wildfire risk and assisting Wildfire Mitigation Program Administrators
  • Assist with project work by making maps, sending out email notifications to contractors, and setting up meetings
  • Provide logistical and clerical support, and communicate with the public in the event of a wildfire


Field Setting essential job functions:

  • As needed, meet with citizens, HOA, and tree contractors to conduct onsite consultations and cost share stipends to educate citizens on their wildfire risk and what they can do to lower their wildfire risk
  • As needed, conduct pre-frame inspections with homeowners and contractors to make sure structures are following current code
  • As needed, assist with project work. Assist by flagging project boundaries, laying out projects, taking photos, and making maps, etc
  • As needed, conduct curbside wildfire risk assessments to update the risk map online for citizens
  • Put out chipping signs and project signs
  • As needed, assist with chipping operations and conducting project work by using section equipment (i.e. chippers, chainsaws, dump trucks, etc.)

We are looking for candidates who demonstrate:
  • Knowledge of standard office technology; intermediate to advanced knowledge of Microsoft Office Applications, particularly Microsoft Word, Excel, PowerPoint, and Outlook
  • Knowledge of proper English usage, spelling, punctuation, and grammar
  • Ability and commitment to provide excellent customer service
  • Ability to communicate clearly and concisely, orally and in writing
  • Ability to follow oral and written directions and work as part of a team
  • Ability to establish and maintain effective working relationships
  • Ability to manage multiple priorities and deadlines
  • Ability to produce a work product with a high attention to detail and minimal errors
  • Ability to work in an office setting and in a field setting in extreme weather conditions (heat and cold)
  • Knowledge of small hands tools and power equipment such as leaf blowers, woodchippers, brush cutters, chainsaws, mowers, and other section equipment.
  • Ability to safely operate assigned City vehicles

Minimum Qualifications

  • Two (2) years of full-time administrative, clerical, or related support experience
  • Possess and maintain a valid, non-probationary Colorado driver's license not subject to restriction related to alcohol and/or drug violations or pending charges

One year of relevant work experience may be substituted for one year of required education (OR) one year of relevant academic coursework beyond the minimum requirement may be substituted for one year of required professional experience.

  • Experience managing multiple calendars/schedules using Microsoft Outlook
  • Specialized college level coursework in natural resource management, fire science, forestry, or a related field
  • GIS experience
  • Wildland Fire Training (NWCG S-130/190 or Red Card)

Additional Information

Physical Demands: This position requires the ability to lift and carry up to 50 pounds frequently and walk on uneven terrain, steep slopes, and rocky conditions.
