Job Summary
We are seeking a dynamic and organized Secretaries and Human Resources Assistant to join our team! Duties
- Greet visitors and answer multi-line phone systems with professionalism and courtesy, demonstrating excellent phone etiquette
- Manage front desk responsibilities, including scheduling appointments, handling inquiries, and directing calls appropriately
- Perform data entry tasks using computer skills, including maintaining accurate records in software such as QuickBooks, Microsoft Office, and Google Workspace
- Organize and file documents systematically to ensure easy retrieval and compliance with company policies
- Assist in office management activities such as supply ordering, calendar management, and coordinating meetings or events
- Support human resources functions by helping with onboarding processes, maintaining employee records, and assisting with payroll-related tasks like bookkeeping
- Provide customer support by addressing inquiries promptly and professionally, ensuring positive interactions at all times
- Proofread correspondence, reports, and documents to maintain high-quality communication standards
- Support clerical tasks such as typing reports, managing data entry projects, and performing general administrative duties to keep the office running smoothly
- Maintain a clean and organized front desk area while managing office supplies inventory
Requirements
- Proven experience in office management or administrative roles with strong clerical skills
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets), and basic computer literacy
- Experience using multi-line phone systems and demonstrating professional phone etiquette
- Bilingual abilities are highly desirable to serve diverse clients and staff effectively
- Familiarity with QuickBooks or bookkeeping software is a plus for handling financial records
- Strong typing skills with attention to detail for proofreading documents accurately
- Previous experience in customer service or as a receptionist (dental or medical receptionist experience is advantageous)
- Knowledge of office equipment such as printers, scanners, and fax machines
- Excellent time management skills to prioritize tasks efficiently while maintaining professionalism
