Secretary

Division International Engineering Consultants is seeking to hire a highly competent Secretary / Office Manager who will be responsible for overseeing all administrative, HR, and PRO functions of the company. The ideal candidate must be experienced, detail-oriented, and able to handle sensitive tasks with discretion and professionalism.

Key Responsibilities:

  • Manage and supervise day-to-day office operations and administration.
  • Handle HR functions including employee onboarding, contracts, leave management, and record keeping.
  • Act as PRO for the company, managing all government relations:
  • Visa processing, Emirates ID, medicals, and residency renewals for employees.
  • Submission and follow-up with authorities (Immigration, Labour, DDA, Dubai Municipality, etc.).
  • Renewal of trade license, establishment card, and other corporate documents.
  • Draft, review, and manage company correspondence, reports, and official documents.
  • Coordinate with management to ensure compliance with company policies and UAE labor laws.
  • Maintain confidentiality, professionalism, and efficiency in all duties.

Requirements:

  • Minimum 5 years of relevant experience in the UAE in a combined Admin/HR/PRO role.
  • Strong knowledge of UAE labour laws, immigration processes, and government portals.
  • Excellent command of the English language (speaking and writing).
  • Proficiency in Microsoft Office applications.
  • Strong organizational, multitasking, and communication skills.
  • Must be available for immediate joining.
