Duties and Responsibilities of Secretary to Department Manager

  • Administrative Support
  • Provide comprehensive secretarial and administrative assistance to the Department Manager.
  • Manage and organize daily schedules, meetings, and appointments.
  • Prepare, draft, and format correspondence, reports, presentations, and other documents.
  • Communication & Coordination
  • Handle incoming calls, emails, and correspondence on behalf of the manager.
  • Coordinate between the department and other internal teams or external parties.
  • Relay accurate and timely information to stakeholders.
  • Meeting & Event Management
  • Schedule, coordinate, and prepare agendas for meetings.
  • Record, transcribe, and distribute meeting minutes.
  • Arrange logistics for departmental events, workshops, and conferences.
  • Document & Records Management
  • Maintain accurate filing systems (electronic and physical) for confidential and sensitive information.
  • Track and monitor departmental reports, deadlines, and follow-ups.
  • Ensure proper documentation control and retrieval.
  • Travel & Logistics
  • Arrange travel itineraries, accommodations, and transportation for the manager.
  • Prepare expense claims, reimbursements, and travel reports.
  • Operational Support
  • Quotation Preparation
  • Assist in preparing departmental budgets, reports, and presentations.
  • Support in following up on projects, tasks, and key deliverables assigned by the manager.
  • Confidentiality & Professionalism
  • Handle sensitive and confidential information with discretion.
  • Represent the manager professionally in all interactions.
