Job Summary:

The Project Coordinator / Secretary will provide administrative and operational support to the project management team. The role involves coordinating project activities, maintaining proper documentation, ensuring smooth communication across departments, and assisting in the execution and progress tracking of ongoing projects.

Key Responsibilities:

  • Support the Department in daily coordination and communication related to ongoing projects.
  • Prepare, manage and maintain project documentation, reports and correspondence.
  • Assist in scheduling meetings, preparing minutes and following up on action items.
  • Coordinate with clients, suppliers, and internal departments to ensure timely flow of information and materials.
  • Monitor project timelines and progress, highlighting any delays or issues.
  • Maintain an organized filing and document control system for drawings, approvals, and communications.
  • Support procurement and material tracking by maintaining records of purchase requests and deliveries.
  • Handle administrative duties such as drafting letters, managing emails, travel arrangements and project filing.
  • Ensure project compliance with internal procedures and client requirements.

Qualifications & Requirements:

  • Bachelor’s degree or diploma in Business Administration, Project Management, or related field.
  • Minimum 2 years of experience in a similar role within the advertising, signage, or construction industry (UAE experience preferred).
  • Proficient in MS Office (Word, Excel, PowerPoint, Outlook) and general office management tools.
  • Strong organizational and time management skills with attention to detail.
  • Excellent written and verbal communication skills in English.
  • Ability to multitask and work effectively under pressure in a fast-paced environment.
  • A proactive and professional approach with a positive attitude.
