1. Administrative & Office Management

  • Managing daily office operations and ensuring smooth workflow.
  • Preparing letters, memos, quotations, reports, and correspondence.
  • Maintaining filing systems (physical & digital) for easy document retrieval.
  • Handling incoming/outgoing emails, calls, and communication.

2. Project & Site Coordination

  • Coordinating with project managers, site engineers, subcontractors, and suppliers.
  • Preparing and updating project documents such as daily reports, work schedules, site instructions, and progress updates.
  • Assisting with material requests (MR), purchase orders (PO), and delivery coordination.

3. Documentation & Compliance

  • Managing company documents like trade licenses, insurance, contracts, agreements, and renewals.
  • Handling submissions to authorities (DCD, ADM, DM, Civil Defense, etc.).
  • Maintaining HR and employee records, visa tracking, and renewals.

4. Meetings & Communication

  • Scheduling and organizing meetings, preparing agendas, and taking minutes.
  • Communicating construction updates to stakeholders and management.
  • Following up on pending tasks with departments.

5. Finance & Accounts Support

  • Assisting the accounts team with invoice preparation, payment follow-ups, quotations, and LPOs.
  • Maintaining petty cash and ensuring proper receipts.
  • Coordinating with suppliers for billing, payments, and statements.

6. Procurement Support

  • Contacting suppliers for quotations and preparing comparison sheets.
  • Assisting with material approvals, orders, and tracking deliveries to the site.
  • Ensuring all procurement documents are properly filed.

7. HR & Employee Support

  • Coordinating visa applications, renewals, medical, and Emirates ID appointments.
  • Managing employee attendance, leave records, and company policies.
  • Assisting with new employee onboarding and documentation.

8. CEO/Manager Assistance

  • Managing calendars, travel arrangements, and appointments for management.
  • Preparing presentations, reports, and confidential documents.

Job Type: Full-time

Pay: AED2,500.00 - AED3,000.00 per month
