*Job Summary:
We need Secretary who can provides essential administrative and clerical support, managing office operations by handling calls, emails, scheduling appointments/meetings, preparing documents (minutes, reports, presentations), maintaining files (digital & physical), greeting clients, and ensuring smooth daily functions, often acting as the first point of contact and requiring strong organization, communication, and multitasking skills.
*Key Responsibilities:
- Communication: Answering phones, responding to emails, handling mail, greeting visitors, taking messages.
- Scheduling & Coordination: Managing calendars, booking rooms, arranging travel, scheduling appointments for executives/teams.
- Document Management: Typing, preparing, formatting reports, presentations, and letters; managing physical and digital filing systems.
- Meeting Support: Producing agendas, taking minutes, preparing documents for meetings.
- Office Operations: Ordering supplies, processing expenses, data entry, maintaining confidentiality, ensuring an organized environment.
*Requirements:
- Technical: Proficiency with Microsoft Office (Word, Excel, PowerPoint) and other computer applications.
- Interpersonal: Excellent communication, strong organizational, time management, and multitasking abilities.
- Professional: Discretion with confidential information, ability to work independently, and a proactive approach.
*Preferred Qualifications:
- Education: High school diploma (minimum); Associate's/Bachelor's in Business Admin preferred for advanced roles; specialized certifications valuable.
- Experience: Clerical/administrative experience; internships; temp work; industry-specific background (e.g., dental, legal).
