Responsibilities

  • Manage front desk duties, greeting visitors and clients with professionalism and warmth
  • Operate multi-line phone systems, directing calls accurately and courteously using proper phone etiquette
  • Handle data entry tasks with precision using Microsoft Office, Google Workspace, and other office software
  • Maintain organized filing systems and manage document proofreading to ensure accuracy
  • Schedule appointments, coordinate calendar management for executives or teams, and organize meetings efficiently
  • Assist with bookkeeping tasks using QuickBooks or similar accounting software when needed
  • Provide excellent customer support by addressing inquiries promptly and professionally
  • Support office management activities including supply ordering, filing, and general administrative tasks

Qualifications

  • Proven office experience with strong clerical skills and familiarity with office management procedures
  • Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
  • Strong organizational skills with the ability to multitask effectively in a fast-paced environment
  • Bilingual abilities are a plus to enhance communication with diverse clients and staff
  • Experience with multi-line phone systems, data entry, filing, proofreading, and calendar management is highly desirable
  • Demonstrated customer service skills with professional phone etiquette and support capabilities
  • Personal assistant or medical/dental receptionist experience is advantageous but not required
  • Ability to type quickly with high accuracy and manage time efficiently to meet deadlines
