Job Description:
We are looking for a highly organized and experienced Secretary to provide comprehensive administrative and secretarial support to the management team. The ideal candidate must have a minimum of 8 years of experience, including mandatory UAE experience and a proven background in the contracting/construction industry.
Key Responsibilities:
- Answer phone calls and redirect them when necessary.
- Manage the daily, weekly, and monthly agenda and arrange meetings and appointments.
- Prepare, draft, and distribute correspondence, memos, reports, and other documents.
- Maintain and update records, files, and contact information for employees, clients, suppliers, and external stakeholders.
- Support the preparation and submission of regular reports.
- Develop and maintain an efficient filing and document control system.
- Monitor office supply inventory and place orders when required.
- Coordinate travel arrangements, accommodation bookings, and related logistics.
- Track and document expenses and prepare expense reports.
- Assist in organizing meetings, preparing agendas, and recording meeting minutes.
- Handle confidential information with professionalism and discretion.
- Perform general administrative and occasional receptionist duties as required.
Requirements & Qualifications:
- Minimum 8 years of experience as a Secretary or Administrative Assistant.
- Mandatory UAE experience.
- Mandatory experience in the Contracting/Construction industry.
- Strong knowledge of office administration and document management procedures.
- Excellent written and verbal communication skills in English.
- High level of multitasking, organizational, and time management skills.
- Strong attention to detail and ability to work under pressure.
- Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
- Professional attitude, integrity, and confidentiality.
- Bachelor's Degree or Diploma in Business Administration or a related field is preferred.
