Location: Lake Middle/High School – Athletic Office
Reports to: Building Principal and Athletic Director
Shift Type: Full-time


Description
: Provide a variety of complex and confidential secretarial support to the athletic office, district communications, disseminating information on behalf of the District and its staff, other districts, public agencies, etc., and addressing a variety of issues and/or providing secretarial support.


NOTE:
The below lists are not ranked in order of importance

  • Ensure safety of students
  • Scheduling and daily updating of district calendar
  • Coordination of all athletic transportation requests
  • Perform duties of receptionist by answering telephone, recording messages, sorting/distributing mail, and greeting visitors
  • Maintains documents, office files, and records for providing up-to-date reference and audit trail for compliance with district, local, county, state and federal regulations
  • Operate all office equipment including copier, fax machine and computer
  • Assist in management of athletic department staff calendars
  • Maintain a uniform filing system for all information and other pertinent data
  • Handle routine correspondence independently
  • Responsible for quoting, booking, and invoicing a variety of out of district facility rentals
  • Input information into and retrieve information from the Student Information System (training provided)
  • Type, assemble and distribute correspondence and reports
  • Assist in gameday staffing and payroll process
  • Assist in preparing and submitting all local, state and federal reports
  • Make contacts with the public with tact and diplomacy
  • Maintain respect for confidential information and documents, e.g. IEPs, testing information, staff and student information, and evaluations
  • Interact in a positive way with staff, parents and the community
  • Promote good public relations by personal appearance, attitude and conversation
  • Attend meetings and in-services as required
  • Maintain and account for departmental requisitions and purchase orders
  • Open and sort mail
  • Models responsibility, honesty, respect, integrity, citizenship and commitment
  • Remain flexible and adaptable to changing situations
  • Performs other duties as assigned by the building principal

Qualifications:

  • High School diploma or general education degree (GED). Higher education is preferred.
  • One to two years related experience

Required Knowledge, Skills, and Abilities:

  • Ability to work effectively with others
  • Ability to communicate ideas and directives clearly and effectively both orally and in writing
  • Understanding of brand standards and district style guideline
  • Effective, active listening skills
  • Coordination with all district parties to identify important events, stories, or district functions that should be highlighted in compliance with district communications strategy
  • Organizational and problem-solving skills
  • Active leadership in the athletic ticketing process (season ticket renewals, deploying passes, executing single game sales) Previous experience with ticketing systems or digital commerce preferred
  • Excellent computer skills including pertinent software applications such as the Student Information System, Google applications, district communications platforms, and spreadsheets. Limited training provided.
  • Excellent word processing skills
  • General bookkeeping skills
  • Utilizations of graphic design skills in a variety of applications, including: digital media, social media, print production, and video board
  • Skills to do multiple, technical tasks with a potential need to upgrade skills to meet changing job conditions
  • Assist in project management for district newsletter: timeline, content mapping and follow up, and quality control process
  • Specific knowledge required to satisfactorily perform the functions of the job including familiarity with school district operations and philosophy, concepts of grammar and punctuation
  • Communicate with diverse groups, meeting deadlines and schedules, setting priorities
  • Ability to multi-task while working with detailed information and balancing interruptions

  • Repetitive hand motion, e.g., computer keyboard
  • Interruptions from staff and parents
  • Frequent requirement to stand, walk, sit, climb, balance, stoop, kneel, crouch, read, hear, and see (occasional color vision required)
