Secretary (Automotive Service Advisor)

Job Overview
We are seeking a bilingual (Spanish) Secretary to join our automotive repair shop. This vital role offers the opportunity to be the first point of contact for visitors and callers, manage administrative tasks with precision, and support office operations seamlessly. Duties

  • Greet visitors and manage front desk responsibilities with warmth and professionalism
  • Operate multi-line phone systems, handle incoming calls, and direct inquiries efficiently
  • Manage calendar appointments, schedule meetings, and coordinate events using Google Workspace and Microsoft Office tools
  • Perform data entry, filing, and maintain accurate records to support office organization
  • Assist with bookkeeping tasks using QuickBooks or similar accounting software
  • Provide excellent customer service by supporting clients, vendors, and internal teams with prompt responses
  • Proofread documents for accuracy and clarity, ensuring professional communication at all times
  • Support office management tasks such as supply ordering, mail handling, and maintaining office equipment

Experience

  • Proven clerical or administrative experience in an office environment is essential
  • Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
  • Experience with QuickBooks or other bookkeeping software is highly desirable
  • Bilingual ability to communicate effectively in more than one language is a plus
  • Prior experience as a dental or medical receptionist or personal assistant will be advantageous
  • Excellent organizational skills with the ability to prioritize tasks efficiently
  • Demonstrated phone etiquette skills and customer support experience
  • Familiarity with office management procedures including filing systems, data entry, and calendar management
  • Strong typing skills along with attention to detail for proofreading documents
