Secretary cum Document Controller

Dubai, United Arab Emirates

Main Tasks:

Control the documents and data control activities/movements.

- Maintain an up-to-date Database Register showing document details and revision status.

They control the numbering, sorting, filing, storing, and retrieval of both electronic and hard-copy documents produced by technical teams, projects, or departments.

-Receiving visitors at the front desk by greeting, welcoming, directing, and announcing them appropriately.

-Answering screening and forwarding incoming phone calls.

-Receiving and sorting daily mail.

Document Management:

  • Maintain, manage, and track project documentation, including drawings, specifications, contracts, RFIs, submittals, method statements, and reports.
  • Ensure proper organization and categorization of documents for easy retrieval.
  • Control the issuance, revision, and distribution of documents in accordance with document control procedures.

Skills:

  • Excellent administration skills
  • Minimum 3-5 years of experience in document control within the construction industry.
  • Customer service skills
  • Confident using a computer
  • Patience and the ability to remain calm in stressful situations
  • Excellent attention to detail
  • Sensitivity and understanding
  • Strong verbal communication skills.
