Duties and Responsibilities of Secretary to Department Manager
- Administrative Support
- Provide comprehensive secretarial and administrative assistance to the Department Manager.
- Manage and organize daily schedules, meetings, and appointments.
- Prepare, draft, and format correspondence, reports, presentations, and other documents.
- Communication & Coordination
- Handle incoming calls, emails, and correspondence on behalf of the manager.
- Coordinate between the department and other internal teams or external parties.
- Relay accurate and timely information to stakeholders.
- Meeting & Event Management
- Schedule, coordinate, and prepare agendas for meetings.
- Record, transcribe, and distribute meeting minutes.
- Arrange logistics for departmental events, workshops, and conferences.
- Document & Records Management
- Maintain accurate filing systems (electronic and physical) for confidential and sensitive information.
- Track and monitor departmental reports, deadlines, and follow-ups.
- Ensure proper documentation control and retrieval.
- Travel & Logistics
- Arrange travel itineraries, accommodations, and transportation for the manager.
- Prepare expense claims, reimbursements, and travel reports.
- Operational Support
- Quotation Preparation
- Assist in preparing departmental budgets, reports, and presentations.
- Support in following up on projects, tasks, and key deliverables assigned by the manager.
- Confidentiality & Professionalism
- Handle sensitive and confidential information with discretion.
- Represent the manager professionally in all interactions.
Job Type: Full-time
Pay: AED3,000.00 - AED3,500.00 per month
