Job Summary

We are seeking a proactive and well-organized Secretary with experience in the design industry. This role will begin as a remote (work-from-home) position, with the expectation to attend client meetings in person when required. As the role evolves, it will transition into a full-time onsite position based on business needs.

The ideal candidate should be confident in handling both virtual and in-person client interactions, and experienced in using CRM systems.

Key Responsibilities

  • Attend and coordinate online (virtual) meetings and in-person client meetings
  • Participate in client meetings alongside the organization’s panel/team members
  • Confidently handle one-on-one client interactions and follow-ups
  • Visit office or client locations when meetings are scheduled
  • Act as a liaison between clients and the internal design team
  • Maintain and update client information in CRM software
  • Schedule and manage calendars, appointments, and meetings
  • Prepare agendas, take meeting minutes, and follow up on action items
  • Manage professional communication via email, phone, and virtual platforms
  • Assist in preparing presentations, proposals, and reports
  • Maintain organized documentation and records

Requirements & Skills

  • Proven experience as a Secretary, Administrative Assistant, or similar role (preferably in the design industry)
  • Hands-on experience with CRM software (e.g., Salesforce, HubSpot, or similar)
  • Comfortable working remotely and transitioning to onsite work
  • Ability to attend in-person client meetings when required
  • Confidence in working both within a team/panel setting
  • Strong communication and interpersonal skills
  • Excellent organizational and multitasking abilities
  • Proficiency in MS Office (Word, Excel, PowerPoint)
  • Professional and presentable personality

Preferred Qualifications

  • Background in design or creative fields
  • Experience in client servicing or coordination roles
  • Familiarity with project management tools

Work Structure

  • Phase 1: Remote (Work from Home) with occasional in-person client meetings
  • Phase 2: Transition to full-time onsite role based on company requirements and workload

Job Type: Full-time

Pay: Rs30,000.00 - Rs35,000.00 per month

Ability to commute/relocate:

  • Karachi Nazimabad: Reliably commute or planning to relocate before starting work (Required)
