
Secretary / Document Controller
Key Responsibilities
- Maintain and control all project documentation, including drawings, specifications, permits, contracts, RFIs, submittals, and correspondence.
- Register, track, and update incoming and outgoing documents in the document control system.
- Ensure proper document numbering, revision control, and distribution procedures are followed.
- Coordinate with project managers, engineers, consultants, clients, and subcontractors regarding document submissions and approvals.
- Monitor document status and follow up on pending approvals and responses.
- Prepare and maintain document logs, transmittals, and project filing systems.
- Archive completed project documents and ensure records are properly stored for future reference.
- Ensure all project documentation complies with company standards and project requirements.
- Assist in the preparation of reports, project records, and handover documentation.
- Maintain confidentiality and security of sensitive project information.
- Support project teams with document retrieval and information management as required.
Qualifications
- Bachelor's Degree or Diploma in Business Administration, Engineering, Construction Management, or a related field.
- Minimum 2–5 years of experience as a Document Controller in the construction industry.
- Proficiency in MS Office applications, especially Excel and Word.
- Experience with document management systems such as Aconex, Procore, EDMS, SharePoint, or similar platforms.
- Strong organizational and record-keeping skills.
- Excellent communication and coordination abilities.
- Ability to work under pressure and manage multiple tasks effectively.
