Secretary / Document Controller

Key Responsibilities

  • Maintain and control all project documentation, including drawings, specifications, permits, contracts, RFIs, submittals, and correspondence.
  • Register, track, and update incoming and outgoing documents in the document control system.
  • Ensure proper document numbering, revision control, and distribution procedures are followed.
  • Coordinate with project managers, engineers, consultants, clients, and subcontractors regarding document submissions and approvals.
  • Monitor document status and follow up on pending approvals and responses.
  • Prepare and maintain document logs, transmittals, and project filing systems.
  • Archive completed project documents and ensure records are properly stored for future reference.
  • Ensure all project documentation complies with company standards and project requirements.
  • Assist in the preparation of reports, project records, and handover documentation.
  • Maintain confidentiality and security of sensitive project information.
  • Support project teams with document retrieval and information management as required.

Qualifications

  • Bachelor's Degree or Diploma in Business Administration, Engineering, Construction Management, or a related field.
  • Minimum 2–5 years of experience as a Document Controller in the construction industry.
  • Proficiency in MS Office applications, especially Excel and Word.
  • Experience with document management systems such as Aconex, Procore, EDMS, SharePoint, or similar platforms.
  • Strong organizational and record-keeping skills.
  • Excellent communication and coordination abilities.
  • Ability to work under pressure and manage multiple tasks effectively.
