Job Title:

Executive Secretary to MD / GM

Position Overview:

We are seeking a smart, professional, and well-presented Executive Secretary to provide high-level administrative support to the Managing Director / General Manager. The ideal candidate must have excellent English communication skills, strong organizational abilities, and a proactive approach to managing executive tasks.

Key Responsibilities:

  • Manage and maintain the MD/GM’s calendar, including scheduling meetings, appointments, and travel arrangements.
  • Prepare and organize correspondence, reports, presentations, and other documents with accuracy and confidentiality.
  • Handle incoming calls, emails, and inquiries professionally and promptly.
  • Coordinate internal and external meetings, ensuring all logistics and documentation are in place.
  • Maintain records, files, and databases in an organized and accessible manner.
  • Assist in drafting official communications and business letters.
  • Liaise with clients, vendors, and internal teams on behalf of the MD/GM.
  • Ensure smooth office operations and support in administrative tasks as required.
  • Maintain confidentiality of sensitive information at all times.

Qualifications & Skills:

  • Bachelor’s degree or equivalent qualification.
  • Excellent proficiency in English (written and spoken).
  • Strong organizational and time-management skills.
  • Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Professional appearance and demeanor.
  • Ability to work under pressure and handle multiple tasks efficiently.
  • Strong interpersonal and communication skills.
  • Minimum 3–5 years of experience in a similar executive secretary or administrative role.
