We are seeking a dynamic and highly organized Secretary / Personal Assistant to join our team. This vital role offers the opportunity to support executive leadership with a wide range of administrative tasks, ensuring smooth daily operations and effective project coordination. Responsibilities

  • Manage complex calendars using Microsoft Outlook Calendar and Google Workspace, scheduling appointments, meetings, and events with precision.
  • Provide comprehensive executive administrative support, including drafting correspondence, proofreading documents, and handling transcription tasks.
  • Coordinate projects and events from planning stages through execution, ensuring deadlines are met and resources are efficiently allocated.
  • Oversee office management duties such as filing, data entry, bookkeeping using QuickBooks, and maintaining organized records.
  • Handle multi-line phone systems with professional phone etiquette, screening calls and directing inquiries appropriately.
  • Assist with front desk responsibilities including greeting visitors, managing incoming mail, and maintaining a welcoming office environment.
  • Support personal assistant duties such as travel arrangements, personal errands, and confidential information handling with discretion.

Skills

  • Proven experience in administrative roles with strong office management capabilities.
  • Excellent organizational skills combined with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools.
  • Skilled in event planning and project coordination to ensure seamless execution of company initiatives.
  • Competent in bookkeeping tasks using QuickBooks and basic bookkeeping principles.
  • Strong typing skills for data entry, transcription, proofreading, and document preparation.
  • Exceptional communication skills demonstrating professionalism in customer service and phone etiquette.
  • Ability to manage multiple priorities efficiently while maintaining attention to detail in a fast-paced environment.
  • Familiarity with office technology including multi-line phone systems, office equipment, DocuSign for electronic signatures, and data management systems. Job Type: Full-time

Pay: $14.00 - $17.00 per hour
