Job Description:

  • Acts as confidential secretary to Superintendent
  • Supports and facilitates all areas of work of the Office of the Superintendent.
  • Supports and facilitates the work of the Board of Education relating to daily matters and meetings of the Board.
  • The ideal candidate will be experienced in handling a wide range of administrative and executive support-related tasks and can work independently with little or no supervision. This person must be exceedingly well organized and flexible.

Minimum Qualifications

  • Graduation from high school and a minimum of two years of post-high school education;
  • Completion of two (2) years of training in a recognized business or secretarial school with emphasis
  • on secretarial practices, and one year of clerical experience; OR
  • Completion of one (1) year of training in a recognized business or secretarial school with emphasis on secretarial practices, and two (2) years of clerical experience; OR
  • Three (3) years of clerical experience, two of which shall have involved secretarial duties; OR
  • Any equivalent combination of experience and training as defined by the limits of A, B and C above.

Required Qualifications

  • Thorough knowledge of office practices and procedures.
  • Ability to receive the public and to make decisions based on mature judgment to help alleviate the schedule of the Superintendent of Schools.
  • Ability to maintain working relationships with administration, department heads, other employees, and the public.
  • Excellent calendar management skills, including the coordination of complex meetings. Experience handling high-stress work environments.
  • Strong knowledge of MS Office, Word, Excel, and Outlook.
  • Professional development will be provided.

Performance Responsibilities

  • Be responsible for heavy calendar management, requiring interaction with internal and external stakeholders to coordinate various meetings.
  • Answer phones and direct incoming calls to the appropriate party promptly and efficiently.
  • Communicate and handle incoming and outgoing electronic communications for the Superintendent and the Board of Education.
  • Prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner.
  • Work closely with the Superintendent and School Business Official to coordinate and manage all work that flows through the office effectively and efficiently.
  • Maintain all personnel records and attendance/accrual information.
  • Serves as District Clerk for the Westfield Academy and Central School Board of Education.
  • Attends board meetings and takes thorough notes to publish and distribute agendas and meeting minutes on Board Docs.
  • Coordinates registration, transportation, and lodging for the Superintendent and members of the Board of Education to attend conventions and conferences.
  • Distribution of salary notices, including salary rollover work in Wincap.
  • Manages the yearly school budget vote and Board of Education election to ensure compliance with state law.

Salary:

  • A full-time, 12-month probationary position that is non-competitive and confidential. The salary range minimum is $56,000 and negotiable, commensurate with experience, and includes a generous benefit package.
