    Transportation Secretary
    Job Purpose
    The Transportation Secretary provides essential clerical and administrative support to the Transportation Department. This position is responsible for scheduling, routing, communication with parents, staff, and vendors, and maintaining accurate records to ensure the safe and efficient transportation of all students, including public, non-public, out-of-district, and special education programs.
    Supervision Received
    • Reports to and receives general supervision from the Executive Director of Operations or the Transportation Supervisor.
    • Works independently to organize tasks within assigned duties in accordance with office standards and procedures.

    Essential Duties and Responsibilities
    • Organize and manage office tasks to support the Supervisor in administrative functions.
    • Type and process correspondence, reports, and records from handwritten notes or documents.
    • Screen correspondence, calls, and visitors; respond to inquiries or direct matters to the Supervisor.
    • Relay Supervisor's directions to drivers, contractors, or others, ensuring timely follow-up.
    • Create and maintain transportation routes for Special Education (SPED) students, including coordination with Nurse schedules.
    • Develop and update routes for Early Childhood Center (ECC) students.
    • Manage routing for CPP students, making daily adjustments as needed.
    • Coordinate aquatic program transportation for SPED students.
    • Maintain a comprehensive monthly calendar of transportation schedules for Public, Non-Public, and Out-of-District schools.
    • Dispatch changes in routing, scheduling, or transportation assignments to drivers and vendors in a timely manner.
    • Communicate with parents regarding pick-up and drop-off times by email.
    • Copy and forward SPED incident reports and parent complaints to schools and transportation provided.
    • Track and document daily bus delays and cancellations.
    • Perform clerical support tasks including filing and record-keeping.
    • Answer and screen telephone calls, providing information or directing inquiries as appropriate.
    • Operate a two-way radio to communicate with drivers and respond to transportation issues.
    • Review and maintain the SPED Matrix to ensure accuracy of student transportation needs.
    Knowledge, Skills, and Abilities
    • Knowledge of transportation scheduling, and routing.
    • Strong organizational skills with the ability to manage multiple schedules and priorities.
    • Ability to communicate effectively with parents, school staff, drivers, and vendors.
    • Proficiency in Microsoft Office Suite.
    • Ability to operate office equipment, telephone systems, and two-way radios.
    • Ability to learn and use department-related software such as Munis, Veras Trans.
    • Strong attention to detail and accuracy in scheduling and documentation.
    Minimum Qualifications
    • High school diploma or equivalent.
    • Two years of clerical or administrative support experience, preferably in transportation setting.
    • Equivalent combinations of education and experience may be considered.
    Working Conditions
    • Regular exposure to computer screens.
    • Requires multitasking in a busy office environment with frequent interruptions.
    • Occasional stress may occur when responding to transportation delays, parent concerns, or emergencies.
