Secretary/Receptionist

Duties

  • Greet visitors warmly and direct them appropriately, ensuring a positive first impression.
  • Manage multi-line phone systems with professionalism, providing accurate information or transferring calls efficiently.
  • Handle incoming and outgoing correspondence, including emails, mail, and packages.
  • Maintain organized filing systems—both physical and digital—using tools like Microsoft Office, Google Workspace, and QuickBooks.
  • Support office management tasks such as calendar scheduling, appointment setting, and data entry to streamline daily operations.
  • Assist with bookkeeping duties including basic bookkeeping and invoice processing.
  • Provide exceptional customer support by addressing inquiries promptly and courteously via phone or in person.

Requirements

  • Proven experience in office administration or clerical roles with strong organizational skills.
  • Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace applications, and data entry software.
  • Excellent phone etiquette with experience managing multi-line phone systems; bilingual abilities are highly valued.
  • Strong organizational skills with the ability to prioritize tasks effectively and manage time efficiently.
  • Experience with office management tasks such as calendar management, filing systems, proofreading documents, and bookkeeping (e.g., QuickBooks).
  • Demonstrated customer service skills with a friendly attitude and professional demeanor.
  • Previous personal assistant or administrative support experience is a plus.
