Job Overview
We are seeking an energetic and highly organized Secretary/Receptionist to serve as the welcoming face and administrative backbone of our office. This vital role involves managing front desk operations, providing exceptional customer support, and ensuring smooth office management. Responsibilities

  • Greet visitors and clients warmly, creating a positive first impression for everyone entering the office
  • Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette
  • Handle incoming correspondence, emails, and inquiries with promptness and accuracy
  • Maintain organized filing systems, data entry records, and manage document proofreading to ensure accuracy
  • Schedule appointments, coordinate calendars, and assist with calendar management for staff members
  • Perform general clerical duties such as photocopying, faxing, scanning, and maintaining office supplies
  • Support bookkeeping tasks using QuickBooks or similar accounting software when necessary
  • Assist with office management tasks including organizing meetings, managing office supplies inventory, and supporting administrative projects
  • Provide customer support by addressing inquiries promptly and professionally in person or via phone or email
  • Utilize Microsoft Office Suite and Google Workspace tools to prepare reports, presentations, and correspondence

Requirements

  • Proven experience in an office environment or as a receptionist with strong clerical skills Reccommended.
  • Excellent computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
  • Strong organizational skills with the ability to prioritize tasks effectively and manage time efficiently
  • Exceptional phone etiquette skills with experience handling multi-line phone systems and customer support interactions
  • Experience with QuickBooks or bookkeeping is a plus but not mandatory; training can be provided
  • Attention to detail for proofreading documents and data entry accuracy
  • Personal assistant experience or receptionist background is advantageous but not required
  • Ability to maintain confidentiality and handle sensitive information professionally
