Secretary/Receptionist

Duties

  • Greet visitors and clients warmly, providing exceptional customer service and ensuring they feel welcomed.
  • Answer and direct multi-line phone systems with professionalism, demonstrating excellent phone etiquette at all times.
  • Manage front desk responsibilities, including handling mail, deliveries, and visitor sign-in procedures.
  • Maintain organized filing systems, data entry records, and ensure accurate document proofreading.
  • Support office management tasks such as calendar management, appointment scheduling, and personal assistant duties.
  • Utilize computer skills to operate Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and QuickBooks for bookkeeping purposes.
  • Assist with clerical tasks such as typing correspondence, organizing files, and supporting customer support efforts.

Requirements

  • Proven experience in office administration or clerical roles with strong organizational skills.
  • Excellent communication skills in both English and bilingual capabilities (if applicable).
  • Proficiency in computer literacy including Microsoft Office, Google Workspace, data entry, and basic bookkeeping software like QuickBooks.
  • Demonstrated ability to handle multi-line phone systems efficiently while maintaining professionalism.
  • Strong organizational skills with keen attention to detail for proofreading and filing tasks.
  • Prior experience in customer service or support roles emphasizing phone etiquette and client interaction.
  • Ability to manage time effectively, prioritize tasks efficiently, and adapt to changing office needs.
  • Personal assistant or office management experience is a plus but not required.
