Secretary/Receptionist

Duties

  • Manage front desk operations with a friendly and professional demeanor, greeting visitors and directing inquiries effectively
  • Handle multi-line phone systems with confidence, providing exceptional customer support and accurate message taking
  • Maintain organized filing systems—both physical and digital—ensuring quick retrieval of documents and records
  • Perform data entry tasks accurately using computer skills in Microsoft Office, Google Workspace, and other relevant software
  • Assist with bookkeeping activities using QuickBooks or similar accounting tools to support financial record-keeping
  • Coordinate calendar management and schedule appointments for staff or executives with precision and proactive communication
  • Proofread correspondence, reports, and documents to ensure clarity, accuracy, and professionalism
  • Support office management tasks such as ordering supplies, maintaining office equipment, and overseeing general administrative functions
  • Provide clerical support including typing reports, preparing presentations, and managing incoming/outgoing mail
  • Offer exceptional customer service by addressing inquiries promptly via phone or email while maintaining excellent phone etiquette
  • Assist with special projects like event planning or office organization initiatives as needed
  • Collaborate with team members to improve office procedures and enhance overall efficiency

Qualifications

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets), and data entry tools
  • Familiarity with QuickBooks or bookkeeping software is highly desirable
  • Excellent communication skills in English; bilingual abilities are a plus for supporting diverse clients or staff
  • Experience managing multi-line phone systems and front desk operations with professionalism and warmth
  • Strong computer literacy including typing speed and accuracy; ability to proofread documents effectively
  • Previous experience in customer service or support roles demonstrating excellent phone etiquette and interpersonal skills
  • Ability to handle multiple tasks efficiently while maintaining attention to detail in a fast-paced environment
  • Knowledge of medical or dental receptionist duties is advantageous but not required; willingness to learn is essential
  • Personal assistant experience or calendar management skills will be valued highly
  • Demonstrated time management skills with the ability to prioritize tasks effectively
