Overview
We are seeking a dynamic and highly organized Service Writer to join our team! Responsibilities

  • Greet customers warmly upon arrival, providing excellent front desk service and managing multi-line phone systems with professionalism and courtesy
  • Schedule appointments, manage calendars, and coordinate service timelines using office management software and Google Workspace tools
  • Accurately document customer concerns, service requests, and vehicle or equipment details through data entry and record-keeping systems such as QuickBooks or similar platforms
  • Communicate clearly with technicians, customers, and vendors to ensure all parties are informed about service progress and expectations
  • Maintain organized filing systems for customer records, invoices, and service histories while ensuring confidentiality and accuracy
  • Proofread documents, work orders, and correspondence to uphold high standards of professionalism
  • Assist with clerical tasks such as typing reports, managing office supplies, and supporting overall office management functions
  • Demonstrate excellent phone etiquette when handling inquiries via multi-line phone systems, providing prompt support or directing calls appropriately
  • Support customer support efforts by addressing questions or concerns promptly, professionally, and with a friendly attitude
  • Perform additional administrative duties such as data entry, filing, proofing documents, and supporting calendar management for the team

Experience

  • Previous office experience in a customer service or administrative role is highly preferred
  • Familiarity with office management tools such as Microsoft Office (Word, Excel), Google Workspace (Gmail, Calendar), and QuickBooks is essential
  • Proven ability to handle multi-line phone systems efficiently while maintaining excellent phone etiquette
  • Bilingual skills are a strong plus to assist diverse customer needs effectively (but not required)
  • Strong organizational skills with the ability to prioritize tasks efficiently in a busy environment
  • Demonstrated proficiency in clerical tasks including data entry, proofreading, filing, and calendar management
  • Knowledge of bookkeeping or basic financial recordkeeping is beneficial but not required
  • Excellent computer literacy combined with strong time management skills ensures smooth daily operations
