Job Purpose
The School Accountant is responsible for managing the school’s financial records, fee collections, payroll, budgeting, statutory compliance, and ensuring accurate and transparent accounting practices in accordance with school policies and government regulations.
Key Responsibilities1. Financial Management
- Maintain day-to-day accounts of the school.
- Record all receipts, payments, and journal entries accurately.
- Prepare monthly, quarterly, and annual financial statements.
- Manage cash flow and bank transactions.
2. Fee Management
- Maintain student fee records and ledgers.
- Monitor fee collection, outstanding dues, and follow-ups.
- Issue fee receipts and reconcile collections.
- Coordinate with admin staff regarding fee concessions and scholarships.
3. Payroll & Staff Accounts
- Prepare monthly salary statements for teaching and non-teaching staff.
- Manage deductions such as PF, ESI, TDS, loans, and advances.
- Maintain staff salary records and payslips.
4. Statutory Compliance
- Ensure timely filing of:
- TDS returns
- PF and ESI contributions
- Professional Tax
- Income Tax related documents
- Coordinate with auditors and provide required financial data.
5. Budgeting & Audit Support
- Assist management in preparing annual budgets.
- Monitor expenditure against approved budgets.
- Support internal and external audits.
- Maintain audit-ready records and documents.
6. Inventory & Asset Records
- Maintain records of school assets and depreciation.
- Coordinate with store/inventory in-charge for stock verification.
7. Reporting & Documentation
- Prepare MIS reports as required by management.
- Maintain vouchers, bills, invoices, and supporting documents.
- Ensure proper filing and record-keeping.
Qualifications & SkillsEducational Qualification
- B.Com / M.Com (preferred)
- Accounting or finance certification is an advantage
Experience
- Minimum 2–5 years of experience as an accountant
- Experience in a school or educational institution preferred
Skills
- Knowledge of accounting software (Tally, ERP, Excel)
- Strong numerical and analytical skills
- Knowledge of statutory compliance in India
- High level of accuracy and confidentiality
- Good communication and coordination skills
