The Senior Accountant plays a key role in managing financial processes, ensuring accuracy, compliance, and efficiency across multiple accounting functions. This is a hands-on role requiring strong organizational skills, attention to detail, and collaboration with internal teams, leadership, and clients.
The Senior Accountant works closely with ownership, the Controller, and senior leadership, supporting financial operations and day-to-day accounting activities. This role includes primary ownership of payroll, ensuring accurate and timely processing, compliance, and reporting. HR experience is preferred, as the position also provides backup support for benefits administration and other HR-related activities.
Duties/Responsibilities:
General Accounting & Finance
- Assist with month-end and year-end close
- Manage daily deposits and support cash flow tracking
- Reconcile accounts and ensure accurate financial reporting
- Identify process improvements and efficiency opportunities
- Support the Controller with analytical, operational, and special projects
- Serve as a trusted accounting resource across departments
Accounts Receivable (AR) & Revenue
- Oversee customer billing and invoicing processes
- Monitor AR aging and collections to support healthy cash flow
- Reconcile AR subledger to the general ledger
- Resolve billing discrepancies and client account inquiries
- Ensure proper revenue recognition and documentation
Invoicing & Billing (Back-up Support)
- Provide backup support, assisting with the invoicing lifecycle from job completion and service verification through invoice issuance and payment application
- Prepare, review, and issue accurate and timely customer invoices in alignment with service agreements, work orders, and contract terms
- Verify invoices accurately reflect labor, parts, materials, pricing, taxes, and discounts
- Partner with operations, service managers, and technicians to validate billable work as needed
- Support resolution of client billing inquiries and discrepancies
- Assist with invoice adjustments, credit memos, and rebilling with appropriate documentation
- Help ensure all billable activity is recorded in the correct accounting period
- Contribute to process improvements and support automation efforts in QuickBooks Online (QBO) and ServiceTitan
- Prepare invoicing and accounts receivable reports for management as needed
Accounts Payable (AP) & Inventory
- Serve as backup support for accounts payable invoice matching; primary responsibility resides with the Inventory and Support Specialist
- Review vendor invoices for accuracy, completeness, and proper coding
- Post invoices to inventory purchase orders within ServiceTitan
- Assist with inventory valuation, adjustments, and reconciliation
- Support cost of goods sold (COGS) tracking and overall inventory management
Payroll, Benefits & HR Support
- Own and manage end-to-end bi-weekly payroll processing, ensuring accuracy, timeliness, and compliance with all applicable regulations
- Assist with employee benefit enrollments and administration
- Complete monthly benefit reconciliations
- Serve as HR backup for onboarding, employee records, and compliance
- Support HR-related projects and documentation as needed
Client Relations & Administration
- Maintain professional relationships with clients regarding billing and account inquiries
- Support general administrative tasks and special projects
- Collaborate with leadership to strengthen internal controls and processes
Required Skills/Abilities

Education and Experience:
- Bachelor’s degree in Accounting, Business Administration, or related field
- 5+ years of progressive accounting experience, including direct payroll processing responsibility
- Experience with QuickBooks Online (QBO) required
- Experience with ServiceTitan is a plus
- HR or benefits administration experience is highly desirable
Physical Requirements:
- Ability to stand, walk, bend, and lift for extended periods throughout the workday.
- Must be able to lift and carry up to 50 pounds regularly.
- Frequent use of hands and arms for handling, reaching, and operating inventory tools or equipment.
- Ability to climb ladders or step stools to access inventory stored at various heights.
- Must be able to perform tasks that require repetitive motion, including scanning, labeling, and stocking.
- Visual acuity to read labels, documents, and computer screens.
- Occasional exposure to varying temperatures in storage or warehouse environments.
