POSITION SUMMARY
The Senior Administrative Assistant within the Prosecutor’s Office is responsible for performing complex clerical and administrative tasks, supporting the efficient operation of a prosecutor's office. This role involves handling sensitive legal documents, maintaining records, coordinating meetings, and providing essential administrative support. This position requires meticulous attention to detail, time management skills, a solid understanding of legal procedures, and the ability to work under general supervision.
ESSENTIAL DUTIES
- Receive and screen visitors and phone calls, providing courteous assistance and directing inquiries appropriately.
- Collect, prepare, organize, and maintain a diverse range of legal documents, including criminal case materials, financial records, and medical documents for case files in compliance with the Discovery (Brady Motion) process.
- Compose and prepare letters, memoranda, motions, orders, subpoenas, indictments, and other legal paperwork adhering to departmental policies and specialized formats.
- Collaborate with colleagues to plan meetings, conferences, and appointments, ensuring efficient scheduling and coordination.
- Establish and maintain organized filing systems for efficient document retrieval.
- Utilize data entry and scanning in a Prosecutor's Case Management System and computer equipment to manage and process various tasks.
- Exercise discretion and judgment in handling confidential information and maintaining confidentiality.
- Obtain SLED/NCIC Certification to perform criminal history checks
KNOWLEDGE, SKILLS AND ABILITIES
- Thorough understanding of standard office practices, equipment, and administrative
techniques.
- Strong knowledge of business English, spelling, and grammar.
- Familiarity with departmental functions, organization, and policies.
- Familiarity with Westlaw research program.
- Proficiency in legal procedures, methods, and responsibilities relevant to the prosecutor's office.
- Problem-solving skills within the scope of assigned responsibilities.
- Excellent interpersonal skills to establish and maintain effective working relationships.
- Ability to create and format complex forms, tables, reports, and documents.
- Competence in operating data entry and personal computer equipment.
- Possess a high level of discretion in handling sensitive and confidential information.
PHYSICAL REQUIREMENTS
- This is light work requiring the exertion of up to 20 pounds of force occasionally, up to 10 pounds of force frequently, and a negligible amount of force constantly to move objects, and some medium work requiring the exertion of 50 pounds of force occasionally, up to 20 pounds of force frequently, and up to 10 pounds of force constantly to move objects; work requires climbing, balancing, stooping, kneeling, crouching, crawling, pushing, pulling, fingering, and repetitive motions; vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels; visual acuity is required for depth perception, color perception, preparing and analyzing written or computer data, visual inspection involving small defects and/or small parts, use of measuring devices, assembly or fabrication of parts at or within arm’s length, operation of machines, and determining the accuracy and thoroughness of work; the worker is subject to inside environmental conditions, and hazards.
EDUCATION AND EXPERIENCE
- Any combination of education and experience equivalent to graduation from an accredited college or university with major course work in criminal justice, behavioral science or related field and some experience working with the public and within the criminal justice system.
LICENSE, CERTIFICATIONS, AND OTHER REQUIREMENTS
- All regular full-time and part-time employees of Spartanburg County are required by state law to participate in the South Carolina Retirement System.
- Possession of a valid driver's license issued in the state of South Carolina.
