Job Overview:

The Senior Administrative Assistant plays a crucial role in providing efficient and responsive administrative support to business leaders, ensuring seamless day-to-day operations and activities. This position encompasses a wide range of responsibilities and often extends beyond the typical administrative duties.


Essential Duties and Responsibilities:

  • Calendar Management: Set and manage the daily schedules and calendars of the VP of Compressor Products and the leadership team, ensuring timely coordination of meetings and appointments.
  • Document Preparation: Prepare and edit various documents, including expense reports, memos, invoices, and presentations, ensuring accuracy and professionalism.
  • Data Management: Create and manage spreadsheets, databases, and other documents, organizing and maintaining essential business information.
  • Office Supplies Management: Order necessary office supplies, monitor inventory levels, and ensure stock availability to support operational needs, including traveling to local vendors/stores to source and purchase items as needed.
  • Facilities Management: Manage corporate stock rooms and/or libraries, ensuring proper organization and accessibility of materials; coordinate and oversee office and facility upgrades or improvements; manage vendor relationships and contracts for services such as cleaning crews and uniform programs to ensure quality and operational effectiveness.
  • Communication Support: Handle video conferencing, fax communications, and office equipment management, facilitating seamless communication channels.
  • Confidentiality & Professional Judgment: Handle sensitive and confidential information with discretion; demonstrate professionalism and sound judgment in all interactions and decision-making.
  • Meeting & Hospitality Coordination: Plan and coordinate meals and catering for meetings and events, ensuring professional and well-organized experience for leadership and attendees.
  • Perform additional duties as assigned.


Required Skills and Experience

  • High school diploma/GED equivalent required.
  • Associate’s Degree or Bachelor's degree from an accredited university or college preferred.
  • Minimum of 5+ years of experience in Administration and Support.
  • Proficiency in general office management and current computer/office communications technologies, with expertise in PowerPoint, Word, Excel, and Outlook. ERP experience desired.
  • Excellent interpersonal, verbal, and written communication skills, including strong grammatical proficiency.
  • Effective time management and organizational skills, with the ability to prioritize and manage multiple tasks concurrently.
