Senior Administrative Assistant

About the Position:
As the Senior Administrative Assistant, you will play a critical role in enabling the effectiveness and operational excellence of key executives. Your role will provide high-level administrative and organizational support while serving as a trusted partner who helps manage priorities, streamline workflows, and ensure seamless execution of executive, departmental, and office-wide activities. You will balance strategic executive support with office coordination responsibilities, contributing to efficient operations and strong internal service.
What You Will Do:
  • Provide primary administrative support to key executives, as needed, including calendar management, meeting coordination, preparation of materials, and expense processing.
  • Serve as a proactive partner to executive leadership, anticipating needs, managing competing priorities, and supporting the coordination of relevant meetings, communications, and follow-up actions.
  • Safeguard confidential information while maintaining absolute professionalism in all interactions.
  • Coordinate office operations and administrative logistics, including oversight of mailroom functions, incoming and outgoing mail, package distribution, and maintenance of shared workspaces.
  • Manage office supply ordering, inventory, and distribution, ensuring workrooms, breakrooms, and beverage stations are consistently stocked and organized.
  • Act as primary backup for front desk operations, providing professional reception coverage and supporting a positive first impression for visitors and customers.
  • Coordinate vendors and building-related activities, including escorting vendors, facilitating deliveries, assisting with office moves, supply placement, and retrieval of materials.
  • Support department, building-wide, and corporate events, partnering with the Director of Office Administration and Human Resources to assist with planning and execution.
  • Provide senior-level administrative and clerical support as needed, including document preparation, filing, record organization, maintaining required employment posters, and serving as backup for the Senior Office Coordinator.
  • Performs other duties as needed.
What We’re Looking For:
  • A High School Diploma required; Associate’s Degree preferred
  • A minimum of two years of previous administrative, office coordination, or executive support experience required
  • Prior experience in customer service or a professional office environment strongly preferred
  • Proficiency in the Microsoft Office Suite
  • Previous use of Artificial Intelligence tools, such as Microsoft Copilot
  • Previous experience in purchasing and reviewing vendor contracts
  • Organized, attention to detail ability to work on multiple tasks
Working Conditions/Demands:
  • Professional office setting.
  • Must be able to move throughout the office and buildings to obtain or relay information.
  • Must be able to perform the essential functions of the position with or without reasonable accommodation.
  • Must be able to lift boxes of supplies or mail weighing up to 15 pounds.
  • Essential functions of the position cannot be performed remotely and require on-site work in order to maintain customer relationships and administrative tasks while also providing cross department support.
