This position is responsible to maintain an accurate database of individual resident disciplinary actions and provide administrative support to the Disciplinary Coordinator in the management of an average of 6,000 cases of resident rule violations annually.
Assembles required case documents for Class I, II and III disciplinary offenses in a timely manner, which ensures that the Hearing Officer is able to comply with the schedules, required by regulations. Prepares daily docket prepares resident summons, copies all summons’. Tracks and maintains via Excel all long term continuances. Prepares list of maximum /TRU cases to be emailed to TRU Unit Team Manager and verifies what sanctions can be handled for special needs residents.
Collects evidence daily from evidence lockers at Main Gate and manually logs items into the evidence room. Logs all information regarding evidence into Evidence Database, using all relevant information provided. Photograph all evidence for use in the Disciplinary hearing and assigns appropriate case numbers to images. Disposes of evidence after completion of hearing based on disposition of hearing, with the exception or narcotics and cell phones which are held until EAI approves destruction, donation or return of property to A&D.
Maintains and updates records of individuals receiving disciplinary reports, utilizing the OMIS database program in the computer in order to track the process. Generates monthly and special reports from the database. Enters all data from disciplinary reports received on a daily basis to include summary judgments and the sanctions for summary judgment. Reviews Disciplinary Reports for errors in information and appropriateness of charges per guidelines from Kansas Administrative Regulations. Prepares a letter for the resident and Captain’s Office to correct errors found. Accuracy of information is important in order to maintain the proper custody level and incentive level for residents.
Maintains official log of inmate disciplinary cases which includes case number, inmate information, writing officer and serving officer. Maintains all administrative files for the section. Monitors Captain’s log for duplication of numbers assigned as well as set-up and prepare logs for the Captain’s Office.
Copies dispositions to include testimony taken in disciplinary cases. Forwards dispositions to residents to allow them to appeal their convictions or sentences. Maintains file copy along with testimony until the disposition is signed by the resident and Unit Team and returned to Office of the Disciplinary Administrator. Verifies information to assure that the allowable sanctions match the charges per Kansas Administrative Regulations. Reviews the case material to assure that all forms and signatures are completed. Distributes to Unit Team and other facilities as needed. Tracks time limits for processing.
Establishes and maintains permanent files of Disciplinary Reports for individual resident disciplinary records. Researches past disciplinary cases for civil suits. Notifies Unit Teams of disposition of disciplinary cases. Attaches summons and requests for Inmate Request for Witness forms as they come in. Maintains diversion agreements with case material forms for inmates. Monitors time limits, number of diversions, and resident history throughout the period of diversion, resets cases to hearings as needed, corrects information, and tracks for successful completion through database.
Types memos for Disciplinary Administrator and Hearing officers. Compiles information for special research as requested. Assists the hearing officer in the accountability of cases. Prepares and sends out cases to other KDOC facilities when inmates have transferred. Answers telephones and provides customer services for the Disciplinary Administrator’s office. Maintains the office when other staff are not present. Performs other assigned duties necessary to the operations of Lansing Correctional Facility and the Kansas Department of Corrections. Must learn and follow all security measures for working with residents in a multi-level custody correctional facility.
