We are a small boutique law firm located near Nationals Park in Washington, DC. We are seeking a full-time, highly organized, detail-oriented and tech-savvy Senior Administrative Assistant to assist with attorney support, day-to-day operations and ensure the smooth functioning of the office. This position requires administrative and operational support skills combined with bookkeeping experience. The ideal candidate is a team player who is comfortable managing multiple responsibilities in a dynamic environment with a willingness to pitch in however needed.
The position is primarily hybrid but during busy periods full-time presence in the office may be required.
KEY RESPONSIBILITIES
Administrative Support:
· Administrative support for all attorneys
· Work with the Office Manager on all matters related to office operations and administrative functions
· Board meeting preparation, assistance with running board meetings, and drafting of board meeting minutes
· Office technology support for all attorneys
· Willingness to pitch in with support tasks such as pickup and distribution of office mail, depositing checks at the bank, supply orders, etc.
Bookkeeping:
· Assist with maintaining accurate financial records, including accounts payable and receivable, general ledger entries, and bank reconciliations
· Process invoices, expense reports, and payments in a timely manner
· Assist with preparing monthly, quarterly, and annual financial reports
· Assist with budgeting, forecasting, and cash flow management
· Assist with coordination of external accountants, auditors, and tax professionals

· Previous experience in a similar role within a small to medium size law or professional services firm working for multiple attorneys a plus
REQUIREMENTS
· Minimum of 3 years administrative assistant experience
· Minimum of 3 years bookkeeping experience
· Advanced skills in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), Teams and Zoom
· Advanced skills with Portable Document Format files (PDF) editor software such as Adobe Acrobat Pro
· Exceptional skills in writing, proofreading, editing, and formatting
· Bookkeeping, AP, AR, and invoicing experience
· Strong understanding of basic accounting principles
· Proficiency in accounting software (e.g. QuickBooks, BQE Core, etc.)
· Proficiency in expense reimbursement and vendor invoice payment systems
· Proficiency in file management systems such as NetDocuments
· Exceptionally organized with strong attention to detail and consistent follow-through
· Motivated with the ability to multi-task, take ownership of tasks, and work proactively and independently
· Strong interpersonal skills with a good attitude and ability to be a team player
· Willingness for role to evolve and accept new responsibilities
