In this role, you'll serve as the primary point of contact for clients and families, manage high-volume calls with compassion and professionalism, coordinate complex provider scheduling, and keep clinical operations running seamlessly. The Senior Administrative Coordinator will support the daily operations and help our mission reach the families who need it most, one interaction at a time.
Responsibilities:
- Serve as the primary point of contact for clients, families, and visitors, delivering trauma-informed, patient-centered service in a behavioral health setting
- Triage and manage high-volume inbound calls, including crisis-adjacent situations, utilizing advanced de-escalation, active listening, and emotional regulation techniques
- Coordinate client flow and communication between multidisciplinary teams, improving access to care and reducing wait times
- Manage complex scheduling across multiple providers, optimizing appointment utilization and ensuring alignment with clinical workflows
- Process Medicaid and payer-related administrative functions, including prior authorizations and eligibility verification, ensuring compliance with regulatory standards
- Maintain accurate, HIPAA-compliant electronic health records (EHR), ensuring data integrity and timely documentation
- Support continuity of care by facilitating timely client intake, follow-up scheduling, and interdepartmental communication
- Identify and implement workflow improvements within front office operations to enhance efficiency and client experience
- Provide high-level administrative support to leadership, assisting with operational coordination and process standardization
- Maintain a structured, confidential, and therapeutically appropriate front office environment
- Manage office supply inventory and procurement, ensuring cost-effective resource utilization
- Perform additional administrative and operational duties to support overall clinic performance
Qualifications
- High school diploma or equivalent required; Associate's degree or higher preferred
- Previous experience in a healthcare, mental health, or human services setting strongly preferred
- Familiarity with Medicaid processes, prior authorizations, or medical office administration is a strong plus
- Exceptional communication and interpersonal skills — you make people feel at ease
- Ability to remain calm, patient, and professional in emotionally sensitive and fast-changing situations
- Strong organizational skills and keen attention to detail
- Proficiency in basic computer skills: email, data entry, scanning, faxing, and scheduling systems
- Proficiency in office software including Microsoft Office Suite (Word, Excel) and electronic health record (EHR) systems.
