Cactus Life Sciences is a non-traditional, fully integrated medical communication agency specializing in technology-enabled innovation and stakeholder personalization, where we uniquely combine science, technology, and strategic communications.
We are looking for an experienced Finance Operations professional with a strong focus on timely invoicing, approving project expenses, and related activities. The Senior Analyst (Project Accounting), Finance Operations, will be responsible for issuing invoices on time in close coordination with the Project Manager and business teams. They will also support the team in maintaining proper internal financial controls for contracts and SOWs and assist with all audit-related queries.
Please note: We are a remote-first organization, and we embrace an "accelerate from anywhere culture". You may be required to travel based on business requirements or for company/team events.
Job responsibilities:
- Communicate effectively with Project Managers and Sales/Principals-in-Charge regarding contract documents, change orders, contract modifications, approvals, and any billing related additional services

Prepare the final invoice package on time, including draft and final invoices for all billable projects, along with all required backup documentation, for approval by the Project Manager or Accounting Supervisor

Identify and pursue opportunities to maximize client billing, and communicate your observations and actions to Revenue Assurance/Project Managers

Review any unbilled items and resolve related issues to optimize the billing possibilities for the period

Maintain the billing folders for all projects with all appropriate documents such as expenses, consultant invoices, and monthly invoices, in accordance with standard procedures

Validate and approve project expenses within the allocated budget, and ensure all billable expenses are accurately billed to the client with proper supporting documentation and within the required timelines

Drive process efficiency in invoice preparation and ensure timely delivery to the client POC, while supporting overall process improvements within AR operations

Maintain cordial working relationships with the Sales and Business Partner teams as required

Provide year end support for auditor requirements, including research, reconciliation, and related documentation

Qualifications and prerequisites:
- Must have a Bachelor’s degree in Accounting or related field with 4-6 years of relevant experience in managing international clients/customers, or experience in project accounting

Demonstrated ability to communicate financial information clearly to individuals without a financial background, supported by strong verbal and written communication skills

Must have advanced Excel skills and a strong understanding of basic financial and banking functions

Working knowledge of boundary systems like Sales force, Oracle Fusion, share point etc. will be added advantage

Capable of independently managing large markets/accounts

Ability to effectively handle customer queries that extend beyond the standard support function

Strong verbal and written communication skills, with the ability to effectively engage and collaborate with both internal and external stakeholders

Shows an eagerness to learn and apply AI tools and technologies
