Job Title: Conversion Officer

Location: Islamabad

Reports to: Director Customer Services through Conversion Manager

Role Summary:

The Conversion Officer is responsible for handling final lead conversions and student application processing. This role plays a critical function in ensuring a smooth transition from registration to enrolment, working closely with the Client Liaison Officers (CLOs), Client Liaison Manager (CLM).

The officer is also responsible for financial health checks, securing required student documents, and facilitating university applications and visa processes. The Conversion Officer acts as the key bridge between registrations and finalized enrolments, ensuring quality assurance, compliance, and high conversion rates.

Key Responsibilities:

1. Lead Conversion & Student Counselling:

  • Engage with registered students and their guardians to provide comprehensive guidance on available university programs.
  • Engage with registered students to understand their study preferences and career goals.
  • Address student queries and concerns to facilitate decision-making.
  • Counsel students regarding eligibility criteria, admission requirements, and study options.
  • Assess the financial health of registered students, ensuring they have adequate financial resources.
  • Collaborate with CLOs to obtain missing documents and financial evidence from students.

2. Application Processing & Documentation:

  • Assist students in completing university applications, ensuring accuracy and completeness.
  • Guide students in preparing required documents such as academic transcripts, personal statements, and recommendation letters.
  • Verify student documents to ensure compliance with university and visa requirements.
  • Maintain a well-organized student database and update progress in the CRM system.

3. Financial Health Checks & Compliance:

  • Conduct a financial health and compliance check for registered students to determine their ability to afford tuition and living expenses and ensure students meet the eligibility criteria (Genuity) for their desired study destination.
  • Assess financial documents such as bank statements, sponsorship letters, and proof of funds provided through CLOs and CLMs.
  • Identify students with financial constraints and advise on possible scholarships or financial aid options.

4. University & Visa Application Support:

  • Liaise with universities for application status updates, offer letters and attain COEs/ CAS/ LOA/ I-20s for visa processing
  • Guide students through visa application procedures, ensuring compliance with embassy requirements. Provide step-by-step guidance to students on visa application requirements and procedures.
  • Ensure university compliance process and visa process are completed in a timely manner to meet intake deadlines.
  • Assist students with university compliance interviews, visa interviews, documentation, and enrolment requirements.
  • Stay updated on the student visa policies and immigration laws of different study destinations.

5. Coordination with Other Teams:

  • Work closely with CLOs and CLMs to ensure seamless lead handover and information flow.
  • Update the Client Liaison and Marketing Team on lead quality and conversion challenges to refine future campaigns.
  • Provide feedback to the Marketing Team on program demand and student preferences.
  • Ensure effective communication with students, their sponsors, university admission team and visa officer.

6. Performance Tracking & Reporting:

  • Maintain detailed records of status of registered students
  • Track conversion rates and identify bottlenecks in the student conversion process.
  • Ensure a high level of customer service and support throughout the student journey.

Requirements:

  • Bachelor’s degree in Business Administration, Marketing, Education, or a related field.
  • 2-4 years of experience in student recruitment, admissions counselling or conversion.
  • Strong knowledge of university admissions processes and visa application procedures.
  • Excellent communication, negotiation, and problem-solving skills.
  • Ability to handle multiple applications simultaneously and meet strict deadlines.
  • Knowledge of financial document verification and program eligibility.

Preferred Skills:

· Experience working in study abroad consultancy or higher education recruitment.

· Familiarity with education systems in the UK, USA, Canada, Australia, and Europe.

· Proficiency in Microsoft Office, CRM platforms, and data analysis tools.

· Ability to build rapport with students, parents, and university representatives.

Job Type: Full-time

Pay: Rs80,000.00 - Rs100,000.00 per month
