We are currently seeking a Senior Coordinator - Administration for one of our very well-known client, to be based in their Dubai office.


Job Purpose:

The purpose of the role is to provide support of all administration services, document control duties, coordination activities with various company units mainly related to Fitout Construction and other portfolio project. Also, responsible for planning and executing the collection of documentation from Fitout Contractors checking content for completeness and seeking necessary approvals.


Job Description:

  • Support of day - to - day management, planning, organizing, and providing all administrative functions effectively and efficiently. Provides administration support for Fitout Construction processes relating to documentation requirements for implementation, change requests, handover and closeout of projects.
  • Managing and controlling Fitout project documentation. Ensuring all documentation requirements such as Work orders, change requests, Method Statements Risk Assessments, handover/closeout reports, payment and invoicing documents meets formal requirements and minimum standards. Ensure documents are shared and approved at key times to facilitate timely project completion.
  • Support in drafting workorders and change requests by collating information from different sources and ensuring accuracy with the contractor framework agreements. Seeking necessary approvals within the team and supply management to produce the final WO for signature. Followup on completion of iproc and with supply management to issue purchase order to the contractor and notifying necessary parties to enable start of work.
  • Ensuring Fitout master tracker is updated as well as any other tracker related to the administration of portfolio projects. Producing status reports whenever requested by the management ensuring accuracy of such information as project timelines are critical.

Requirements:

  • General administration services.
  • Excellent commination skills (writing and reading) are essential.
  • Organizing files and documents for projects.
  • Document Controller courses or certification is an advantage.
