Location: Seattle, WA; In person 3 days a week


Organizational Overview

The King County Regional Homelessness Authority (KCRHA) is a public administrative agency created by an interlocal agreement between the City of Seattle and King County. KCRHA is responsible for unifying, coordinating, and administering the funding of emergency services for people experiencing homelessness — to provide oversight and accountability. Our mission is to administer effective, performance-based homeless services to support a high-functioning homelessness crisis response system to significantly decrease the incidence of unsheltered homelessness across King County using equity and social justice principles. Crisis response includes services that support those who are not yet in permanent housing such as: Emergency shelter, Transitional Housing, Tiny Home Villages, Rapid Re-Housing, Day Centers, and Severe Weather shelter.



Team Overview

The Operations Division reports into the Office of the Chief People Officer which oversees Human Resources and Operations. The team directly interacts with all offices across KCRHA, working closely with the Executive Office to ensure direct operation alignment with the strategy and goals of the agency.


Role Description

The Senior Coordinator will oversee KCRHA’s facilities operations and technology infrastructure as well as support the Manager in ensuring the reliability of our IT systems, security and efficiency while aligning technology solutions with business goals. They will support IT, equipment and supply inventory as well as other operational responsibilities to provide support and customer service to KCRHA employees.


Accountabilities

System Operations


  • Assist in all IT related tasks as instructed by the Manager of IT.
  • Maintain a high level of understanding in overall KCRHA system operations, and information technology including but not limited to Microsoft 365, Azure AD, Adobe Acrobat, Smartsheet, and Halo ITSM.
  • Ensure that high quality services and communication are delivered, and best practices are continuously integrated into the Authority’s day-to-day functions.
  • Set up, configure, and maintain computers, laptops, mobile phones, and other IT hardware and ensure end-user devices and systems are operational.
  • Assists in the development of IT and system policies and procedures to support day-to-day internal operations.

Operations Support


  • Oversee and support ongoing tracking of office equipment setup, workspace planning, distribution, maintenance and inventory tracking across the Authority.
  • Support operations with purchasing supplies and equipment.
  • Manage Business Operations contracts for equipment, licenses, and software as well as their renewals.
  • Assist facilities with purchasing, vendor relations and office/workspace setup.

Continuous Improvement


  • Explore tech equipment and software to ensure functionality and efficiency, according to KCRHA internal needs.
  • Execute on day-to-day operations to promote the execution of short-term and long-term goals.
  • Work closely with the Manager of IT to create feedback loops for internal staff to better inform and identify areas of improvement.
  • Proactively identify the latest trends and best practices as it relates to organizational operations, and information technology to enhance the Authority’s day-to-day operations by detecting needs for updates, configurations or new systems and equipment.

Documentation & Reporting


  • Maintain detailed records of IT assets, configurations, and support tickets.
  • Responsible for the documentation of troubleshooting steps, solutions, and system configurations.
  • Generate periodic reports on system performance, incidents, and IT-related activities.
  • Conduct regular audits to reconcile IT asset records and identify discrepancies.

Technical Support


  • Monitor and manage network infrastructure, including switches, routers, and firewalls, to ensure optimal performance and security.
  • Ensure compliance with relevant regulatory standards and software licensing requirements.
  • Conduct regular audits of end-user access and permissions.

Software & Application Support


  • Install, configure, and update software applications used by the organization.
  • Provide training and guidance to end users on software usage, troubleshooting common issues, and best practices.
  • Collaborate with software vendors and internal teams to resolve issues and implement upgrades.
  • Other duties as assigned.

Minimum Requirements

  • Fluency in equity and racial justice concepts and language, understanding their privilege and power, and can bring equity impact analysis to life in the context of their tasks.
  • 4+ years of related work experience in a similar role.
  • Comfortable with ambiguity, flexible and adaptable to
  • Strong organization, written and oral communications
  • Proficiency in supporting Windows, macOS, and iOS software and devices.
  • Fluency in equity and racial justice concepts and language, understand their own privilege and power, and can bring equity impact analysis to life in the context of their
  • Possesses working knowledge of Azure and Microsoft Admin Portals (Teams, SharePoint, Exchange, Defender/Security, and Intune).

Additional Requirements

  • Experience with government and community stakeholders in King County
  • Valid Washington State Driver's License
  • Ability to travel up to 10%, in state and out-of-state
  • Superior oral and written communication skills
  • Exceptional planning, organizing, and prioritizing skills in order to manage a diverse workload, multiple demands, and deadline sensitive projects
  • Project management experience a plus
  • A track record of success in day-to-day operations and stakeholder engagement
  • High level of customer service orientation and attention to detail
  • Ability to provide and accept feedback
  • Must be able to lift up to 30 pounds at times
