Job Title : Senior Document Controller

Location: Saudi Arabia


Role Purpose

The Senior Document Controller at Al Bawani Construction Company is responsible for developing, directing, managing, and monitoring the project’s document control system functions and procedures. This role ensures the implementation of efficient workflows and high-quality document management across the organization. The Senior Document Controller plays a critical role in maintaining compliance, accuracy, and accessibility of project documents, supporting the company’s operational and project delivery goals.


Key Accountabilities

Key Activities

Document Control System Management

  • Set up and administer the Document Control system, including procedures, processes, templates, and applications.
  • Oversee the setup and maintenance of project filing systems and document templates.
  • Manage file backups and tracking systems to ensure document accessibility and security.
  • Ensure compliance with company and client document control requirements.


Document Quality and Compliance

  • Check documents for accuracy, completeness, and compliance with project requirements.
  • Oversee the quality and safety of documents, preparing them for audits.
  • Perform registration, dispatch, filing, and archiving formal documents in the company and client’s EDMS.
  • Track and expedite construction execution documents, quality records, and client comments.


Coordination and Communication

  • Coordinate with internal teams, suppliers, and clients for document receipt and approval.
  • Liaise with client document control staff to resolve day-to-day issues.
  • Provide training and guidance to team members and stakeholders on document control processes.
  • Ensure teams receive the necessary assistance and follow appropriate processes.


Reporting and System Improvement

  • Generate weekly, monthly, and progress reports as required.
  • Identify and recommend system improvements to enhance document control efficiency.
  • Monitor and report on document review/approval status and overdue documentation.
  • Ensure system improvements are properly implemented and maintained.


Team Leadership and Development

  • Provide leadership and guidance to junior document controllers and team members.
  • Ensure all staff have clear objectives, regular feedback, and development plans.
  • Foster a collaborative and inclusive work environment.
  • Emphasize the development of talented Saudi national staff.


JOB SPECIFICATIONS

Industry / Domain

  • Construction industry.


Necessary Knowledge and Experience

  • Minimum of 7-10 years of experience in document control or a related field, preferably in the construction or engineering industry.
  • In-depth knowledge of ISO standards (e.g., ISO 9001) and regulatory requirements related to document control.
  • Experience in managing project documentation for large-scale construction or engineering projects.
  • Experience in mentoring and training junior document controllers and team members.
  • Proficiency in using EDMS software (e.g., Aconex, Procore, or similar platforms).


Education and Certification Minimum Requirements

  • Bachelor’s degree in information technology, Computer Science, Engineering, or a related field.
  • Certification in Document Management Systems (e.g., CDMP or equivalent) is preferred.
  • Certification in project management (e.g., PMP, PRINCE2) is a plus.


Job Specific Technical Skills

  • Strong understanding of Drawing Office/Document Control procedures.
  • Proven ability to manage multiple projects and meet tight deadlines.
  • Excellent verbal and written communication skills.
  • Ability to identify issues, make timely decisions, and develop innovative solutions.
  • Ability to work effectively in multidisciplinary teams and share knowledge.
