The Clerk of the Circuit Court & Comptroller is seeking a highly skilled Senior Executive Assistant to provide exceptional administrative and strategic support to executive leadership. Examples Of Essential Functions

Provides executive administrative support to executive leadership, acts as a liaison between executives and staff in order to maximize efficiency and effectiveness; performs advanced administrative support functions, as dictated by the nature of the assigned division, i.e., preparing meeting agendas agenda packets, scheduling appointments and arrangements for meetings, maintaining and balancing expenditure/budget accounts.

Informs executive leadership of any current issues, inquiries, or developments of concern to the Clerk of the Circuit Court & Comptroller’s office; reviews and analyzes various documentation for the purposes of identifying items to bring to executive leadership's attention.

Monitors budgets; initiates purchase orders; handles purchasing requests; serves as an approver for transactions representing executive leadership.

Reviews and analyzes submitted requisitions and personnel action notice requests and assesses financial impact and operational needs.

Receives, analyzes and/or processes various forms and documents on behalf of executive leadership; checks, verifies and corrects information as needed; ensures appropriate signatures have been initiated on necessary Clerk documentation.

Generates correspondence, memos, agendas, requisitions, reports, claim forms, annual budgets, and other relevant materials appropriate to assigned unit.

Ensures appropriate support materials applicable to each engagement are prepared, assembled, and set for distribution, e.g., hand-outs, meeting agendas, presentation materials; ensures necessary copies of pertinent forms, materials, reports, records and documents are made, distributed, and filed; responsible for ensuring various documentation are thoroughly proofread; oversees and prepares statutorily required reports for executive leadership.

Gathers, organizes, designs, calculates, and provides financial data in variety of reporting formats, e.g., spreadsheets, databases, special report writers, narrative reports; produces reports for monitoring and decision-making purposes.

Receives, screens and processes telephone calls and mail; shares responsibilities with other executive staff as needed in receiving calls/visitors and performing routine administrative and operational duties.

Typical Qualifications

Associate's degree, supplemented by six (6) years of recent and relevant experience leading, coordinating, and supporting multiple executives required.

Additional experience is accepted as a minimum requirement in lieu of a post-secondary degree on the following basis: additional four (4) years in lieu of a bachelor’s degree, and additional
