Senior Executive Assistant

My client is seeking a senior level Executive Assistant to support a C-suite Executive at a privately held distribution company in Tennessee.


This is a highly visible, fast-paced role. This individual will serve as a strategic right hand, helping manage the day-to-day complexity of the Executive's responsibilities across multiple departments.


The ideal candidate is a seasoned EA who is mature, highly organized, technologically strong, and comfortable operating with significant autonomy.


This role requires someone who can anticipate needs, maintain operational rhythm, and keep a busy executive on track while managing a high volume of coordination across the organization.


Key Responsibilities:


Executive Support

  • Manage and prioritize Outlook inbox and calendar
  • Track priorities and ensure follow-through across multiple initiatives
  • Draft responses and communicate on behalf of the executive when appropriate
  • Coordinate and prepare leadership meetings, agendas, and follow-ups

Travel Management

  • Manage extensive travel scheduling including flights, hotels, cars, and logistics
  • Coordinate both commercial travel and private aviation (liaising with pilots when needed)
  • Support travel planning across multiple states weekly

Expense & Administrative Oversight

  • Manage expenses using Ramp expense platform
  • Oversee company Visa transactions and reporting
  • Maintain organized documentation and reporting across executive activities

Internal Brand Management and Communications

  • The EA will often sit in on meetings, track action items, and ensure alignment across teams.

Leadership & Brand Support

  • Assist with LinkedIn presence and executive/company branding
  • Coordinate communications and executive visibility
  • Support leadership team travel logistics when required

Personal Support

  • Light personal scheduling and logistics management.


Ideal Candidate Profile:

  • 10–20 years supporting senior executives or founders
  • Highly proficient in Microsoft Office (especially Outlook and Excel)
  • Exceptional organizational and prioritization skills
  • Comfortable managing complex schedules and high travel volume
  • Strong communicator with the ability to represent the executive professionally
  • Discreet, proactive, and highly dependable
