Position Overview:
The Senior Executive – Operations plays a critical role in ensuring smooth execution of international shipment operations. This position is responsible for monitoring shipment pickups and deliveries, validating documentation for customs clearances, ensuring compliance with security procedures, and maintaining operational accuracy through effective MIS reporting and process adherence.
Job Purpose:
To ensure timely and compliant execution of international operations by adhering to standard operating procedures (SOPs), maintaining accurate documentation, and supporting smooth coordination between customers and internal stakeholders.
Key Roles & Responsibilities:
Operational Execution

Ensure adherence to timelines for regular and on-call shipment pickups, update MIS accordingly.

Verify receipt and accuracy of customer documentation for customs clearances; escalate deviations as required.

Conduct scanning and security checks of inbound shipments; reconcile shipment details in system records.

Capture shipment descriptions and related paperwork in line with customs requirements.

Handover shipments and documentation to DHL for customs clearance and ensure timely flight connections.

Monitor outbound shipment schedules and report deviations to management promptly.
Exception & Performance Tracking

Track delivery exceptions and update the status of international shipments in the MIS.

Maintain records for on-time pickups, deliveries, and flight connections as per operational KPIs.
Training & Compliance
-
Support training programs for pick-up staff on documentation and customs requirements.

Always ensure compliance with security standards and operational guidelines.
Reporting & MIS Management

Prepare, update, and maintain operational MIS, including the DHL Global Standard KPI scorecard.

Generate timely and accurate reports for management review.
Qualifications & Experience:
Education:
-
Essential – Graduate in any discipline (preferably in Commerce, Logistics, or Supply Chain).
Experience:
-
2–4 years of experience in international logistics, operations, or supply chain roles.

Exposure to customs clearance processes and MIS reporting preferred.
Skills & Capabilities:

Knowledge of shipment documentation, customs processes, and logistics operations.

Proficiency in MS Excel and basic data management.

Understanding of operational KPIs and process adherence.
