GENERAL JOB DESCRIPTION
The Sr. HR Specialist provides high‑volume operational and administrative support across the employee lifecycle. Partnering closely with HR Business Partners, Recruiting, and HR Operations, this role ensures accurate HR data, compliant processes, and a consistent, positive employee experience. Reporting to the HR Manager, this position is a key operational contributor within a collaborative, integrated HR team.
MAJOR DUTIES AND RESPONSIBILITIES
Employee Lifecycle Programs

Coordinate onboarding and offboarding activities, including pre‑employment processes and paperwork.

Organize, schedule, and support onboarding communications and new‑hire orientation sessions covering culture, policies, benefits, and training requirements.

Track onboarding checklists and ensure new hires have the tools and resources needed for success.

Manage and administer 30/60/90-day new hire surveys, ensuring timely completion; summarize feedback and report insights and trends.

Coordinate exit interview process, including scheduling, and documentation; track and summarize exit interview feedback and employee trends for periodic review.

Track and analyze exit trends and turnover data, providing insights to HR leadership and business leaders to inform retention strategies.
HR Operations & Systems Administration

Process and maintain employee position and data changes in ADP TotalSource with a high degree of accuracy and timeliness

Prepare HR communications, manage confidential documentation, and schedule HR‑related meetings as required.

Maintain accurate organizational charts aligned with approved changes.

Partner with HR Operations to resolve routine data updates and system corrections.

Execute employee actions including compensation and leadership changes, and special pay requests in ADP TotalSource.

Compile and prepare standard HR reports to support workforce planning and HR initiatives.
Intern Program Management

Coordinate MAI’s Internship Program, including onboarding, program scheduling, and intern engagement activities.

Partner with hiring managers and HR leadership to ensure a consistent and positive experience.

Track program outcomes and provide feedback to improve future intern program cycles.

Serve as the primary HR contact for interns throughout the program.
Talent & Recruitment Support

Provide administrative HR support during acquisitions, including offer letter preparation, background screening, and documentation collection.

Assist with integration activities related to employee records, policies, and communications.

Responding to candidate inquiries related to compensation and benefits.

Ensure all offer documentation is accurate, compliant, and securely maintained.
HR Business Partner Support & Collaboration

Support HR leadership and HRBPs with HR initiatives and special projects.

Support execution of HR programs and initiatives such as performance cycles, goal setting, recognition, and career development.

Serve as a first point of contact for employee HR inquiries, escalating issues as appropriate; manage the HR email in-box.

Assist with employee education on HR programs, policies, and practices.

Maintain strict confidentiality and sound judgment when handling sensitive matters.

Identify opportunities to improve HR processes and recommend efficiencies
EXPERIENCE/CREDENTIALS

Bachelor’s degree in human resources, Business Administration, or another relevant field.

Minimum of 3 years of HR experience as a generalist, operations, recruiting, or HR program support.

Experience managing HR programs, surveys, or employee lifecycle initiatives.
-
PHR or SHRM‑CP certification preferred; willingness to obtain certification strongly encouraged.

Proficient with HRIS systems; ADP WFN experience preferred.

Proficient in Microsoft Office (Word, Excel, PowerPoint).
