Job Scope:

The Senior Officer - Administration is accountable for coordinating and managing the day-to-day activities and operations of the company while handling different organizational and administrative tasks.


Main Duties and Responsibilities:

  • Oversee day-to-day administrative and operational tasks to ensure smooth office functioning;
  • Screen and prioritize calls, visitors, and correspondence;
  • Manage calendars, schedule meetings, attend when needed, and prepare minutes/reports;
  • Draft, review, and validate business communications, presentations, memos, and reports;
  • Maintain and update office filing systems;
  • Handle all assigned HR tasks related to onboarding and exiting employees in coordination with the HR Dept;
  • Handle visa issuance and renewals in coordination with the PRO;
  • Liaise with the insurance company for employee policy addition and deletions;
  • Coordinate project tasks, track progress, book costs, process invoices, and generate periodic reports;
  • Register companies and submit invoices through client portals (including ASN creation);
  • Liaise with warehouse for deliveries and collections across locations;
  • Update customers and internal stakeholders on order backlogs and information;
  • Coordinate company events and manage related expenses.

Technical Degree/Diploma


Experience:

At least 3 years of relevant experience
