The role of a Senior Project Coordinator involves in a variety of tasks ranging from managing a team of Project Coordinators, Project follow ups, business scheduling and correspondence to personal errands. The ideal candidate should be trustworthy, flexible, detail-oriented, and thrives in a fast-paced, professional environment.
Key Responsibilities:
Professional Support:
- Daily follow ups on the project status with all the stake holders.
- Management of Project Coordinators
- Manage CEO’s calendar and appointments
- Manage the subcontractors.
- Screen calls, emails, and correspondence; draft responses as needed
- Coordinate travel arrangements, itineraries, and accommodations
- Prepare documents, reports, and presentations
- Liaise with internal staff, clients, and vendors on behalf of the CEO
- Assist in managing confidential business information and projects
- Run errands and manage household-related scheduling
- Coordinate family events, reservations, and special occasions
- Occasionally assist with personal travel, gift purchasing, and other tasks
Qualifications:
- Bachelors in Civil Engineering, Architecture or any related field.
- Proven experience as a Personal Assistant, Executive Assistant, or similar role
- Excellent organizational and time-management skills
- Strong written and verbal communication skills
- Proficient with Microsoft Office Suite, Google Workspace, and scheduling tools
- Discretion and confidentiality are a must
- Ability to multitask, prioritize, and anticipate needs
- Positive, can-do attitude with a willingness to help wherever needed
