Senior Project Coordinator- Fit Out

The role of a Senior Project Coordinator involves in a variety of tasks ranging from managing a team of Project Coordinators, Project follow ups, business scheduling and correspondence to personal errands. The ideal candidate should be trustworthy, flexible, detail-oriented, and thrives in a fast-paced, professional environment.

Key Responsibilities:

Professional Support:

  • Daily follow ups on the project status with all the stake holders.
  • Management of Project Coordinators
  • Manage CEO’s calendar and appointments
  • Manage the subcontractors.
  • Screen calls, emails, and correspondence; draft responses as needed
  • Coordinate travel arrangements, itineraries, and accommodations
  • Prepare documents, reports, and presentations
  • Liaise with internal staff, clients, and vendors on behalf of the CEO
  • Assist in managing confidential business information and projects
  • Run errands and manage household-related scheduling
  • Coordinate family events, reservations, and special occasions
  • Occasionally assist with personal travel, gift purchasing, and other tasks

Qualifications:

  • Bachelors in Civil Engineering, Architecture or any related field.
  • Proven experience as a Personal Assistant, Executive Assistant, or similar role
  • Excellent organizational and time-management skills
  • Strong written and verbal communication skills
  • Proficient with Microsoft Office Suite, Google Workspace, and scheduling tools
  • Discretion and confidentiality are a must
  • Ability to multitask, prioritize, and anticipate needs
  • Positive, can-do attitude with a willingness to help wherever needed
