Why does the job exist?

The Senior Purchasing Coordinator will:
Provide technical assistance to Health Care Authority (HCA) divisions;

Provide support for the chief procurement officer, Contract and Purchasing Managers with development, issues and management oversight of the request for proposal (RFP) process;

Administer the agency's database bonfire ensuring the contract request entry was done correctly and completely;

Monitor the status of the contracts to ensure they are moving in a timely matter and address missing documents;

Oversee contracts, purchasing and the RFP process, ensuring adherence to appropriate procurement methods and the timely completion of all tasks.

How does it get done?

The Senior Purchasing Coordinator is responsible for:
Providing contract training and guidance to agency divisions;

Daily processing of contracts utilizing bonfire;

Assisting with the development of RFPS and guide divisions in the RFP process;

Performing as the administrator of bonfire for the RFP process;

Assisting the agency with reporting of contracts in the General Service Department (GSD) in-out of state contracts portal as well as the sunshine portal;

Assisting in reporting the agencies' purchase orders utilizing statewide price agreements to the state purchasing portal;

Understanding of the NM State Procurement Code and Department of Finance and Administration (DFA) Manual of Modeling Accounting Practices (MAPs)

Using SHARE Financials, Microsoft Excel and a variety of other Microsoft Office products;

Completing packet submissions to the NM State Purchasing Division/Contracts Review Bureau.

Minimum Qualification

Bachelor's degree in Business or Accounting and Finance and one (1) year of experience in accounting, finance, purchasing, procurement, and/or warehouse clerking. Any combination of education from an accredited college or university in a related field and/or direct experience in this occupation totaling five (5) years may substitute for the required education and experience.
Employment Requirements

Must possess and maintain a valid driver's license.

Must obtain a Defensive driving certification.
Working Conditions

Work is performed in an office setting, with exposure to Visual/Video Display Terminal (VDT), extensive computer and telephone usage. Must be able to lift 20 lbs.
