Senior Specialist – Facility Management

Job Purpose:


The Administration & Facilities Senior Specialist is responsible for providing centralized administration and facilities coordination for the RSCTC Head Office in Jeddah and Distribution Centers. The role ensures efficient operations, controlled costs, consistent service delivery, and a safe well-managed workplace across all locations including direct supervision of reception services.


Key Responsibilities:


  • Manage day-to-day administrative and office operations at RSCTC Jeddah Head Office and act as the main point of contact for office-related requests, services, and coordination.
  • Oversee office supplies, pantry services, stationery, utilities coordination, meeting support, seating arrangements, and general workplace coordination.
  • Coordinate and support office events, celebrations, internal gatherings, and employee engagement activities in a safe, organized, and cost-effective manner.
  • Provide centralized oversight and coordination of administration and facility-related services for all Distribution Centers.
  • Coordinate with Distribution Center Management and service providers on office areas, housekeeping, utilities, security services, and site readiness activities.
  • Ensure consistency in service standards, documentation, and reporting across all Distribution Center locations.
  • Monitor, track, and control office and DC consumptions, including utilities, pantry, stationery, cleaning materials, and service usage.
  • Manage, track, and report administration and facility-related costs, support budget planning and cost forecasting, and identify opportunities for cost optimization without impacting service quality or compliance.
  • Coordinate with Finance and Central Purchasing on quotations, PRs, POs, and invoice verification.
  • Directly manage and supervise Head Office and Distribution Center receptionists, ensuring professional, consistent front-desk operations and visitor management processes.
  • Provide guidance, task assignment, performance follow-up, and ensure reception areas maintain a professional appearance and comply with security requirements.
  • Coordinate with maintenance, IT, and service providers on facility-related issues (AC, lighting, cleaning, internet, printers, etc.).
  • Conduct periodic remote or on-site checks to ensure cleanliness, safety, and functionality of offices and DC office/welfare areas.
  • Support and maintain documentation related to licenses, certificates, service contracts, inspections, and vendor records.
  • Act as a central coordination point between sites, service providers, and internal stakeholders.
  • Maintain logs and provide regular reports on service requests, consumptions, costs, vendors, open issues, and completed actions.


Qualifications & Experience

  • Bachelor’s degree in Business Administration, Facility Management, or a related field.
  • Minimum 3–5 years of experience in administration, facilities coordination, or multi-site operations.
  • Experience managing office consumption, costs, and service contracts.
  • Prior experience supervising reception or admin staff is required.
  • Exposure to warehouse or logistics environments is an advantage.
