Reports to:
Order Fulfilment Manager
Purpose:
The role is responsible for all interactions and daily orders with third-party organizations that supply goods or services to the University. This role acts as the key link in communication between the buying team, vendors, and end-customers, ensuring proper expenditure of university funds through conscientious and ethical conduct.
Responsibilities:
Vendor Performance and Evaluation:

Support the development and maintenance of the vendors' performance evaluation process

Maintain and circulate quarterly, semi-annual, and annual performance appraisal reports to stakeholders
-
Hold review meetings with vendors to discuss performance and highlight areas for improvement
Vendor Sourcing and Registration:
-
Responsible for the new vendors' registration and assessment processes, ensuring full awareness of the University policies and performance criteria

Develop new vendor sources by meeting with sales representatives and sourcing key local and worldwide suppliers to support the buying team
Order and Contract:
-
Monitor the vendors' follow-up process for all placed orders from acknowledgment to payment release, ensuring accurate and timely delivery

Responsible for suppliers' contracts management, assess order delays, enforce applicable penalties, and resolve quality or payment problems with vendors
Reporting and Risk Assessment:

Maintain a constantly updated database of vendors, order statuses, end-customer returns, and vendor billing or payments

Prepare all types of reports, including monthly operation control reports and KPI results, to track performance against goals

Assess risk areas for existing and new vendors and the market, recommending actions to the supplier relationship management (SRM) manager
Stakeholder Communication and Problem Resolution:

Act as the primary communication link for order questions and updates

Respond effectively to the University community inquiries

Respond to vendors' complaints and end-users' escalations, ensuring quick resolution by coordinating with the buying unit

Collect end-users ‘feedback to drive satisfaction
Policy Compliance and Strategy Support:

Participate in developing and implementing procurement policies and procedures and ensure adherence to the University policies

Recommend commodities for contract purchase based on market studies

Provide ideas for process improvements to the SRM management
General Duties:

Qualifications and Skills:
Education and Experience:
-
Bachelor's degree in a relevant field is required
-
SCM certification(s) will be an asset
-
Minimum of seven years of experience in procurement within corporate and multinational companies
-
Experience in a corporate environment is an asset
-
SRM experience is an asset
-
Proven experience in foreign procurement and international trade, including international vendor communication, shipping documentation managemental issuance, incoterms, such as sea and air, international payment terms, and compliance with import regulations and clearance procedures

Professional user of ERP, knowledge of SAP is an advantage

Good knowledge of supply chain management, best practices and business or financial issues
Communication:

Strong written and verbal communication skills are necessary for daily interaction with local and international suppliers

Strong problem-solving skills with demonstrated passion for excellent customer service and a commitment to exceptional quality
Organizational and Detail:

High organizational skills and capability to manage multiple tasks simultaneously
