Duties and Responsibilities:
1. Travel and Logistics (Chairman’s request, CEO, Executives, Procurement, HR and other entities).
Serve as the main point of contact for travel related request including flights, hotels, ground transportation, and other logistics issuance.
Provide support in case of emergencies, cancellations, or travel disruptions.
2. Roadshows and Sales Event Booking ticket+ Hotel+ transfer Coordination (Marketing, Direct Sales, Channel Partner Department)
Contact the property through email or phone as requested by the requester
Submit 3 options of both ticket and hotel wait for approval.
After approval will proceed issuance
3. Cost Control (Alaan Card Top Up) – Finance
Monitor travel expenses and stay within budgetary constraints.
Ensure all bookings are in line with the company’s travel policy
Request top up of Alaan card according to expenses and budget approval to Payment officer
Assist employees on submitting travel-related invoices for reimbursements.
4. Record Keeping and Reporting
Maintain accurate records of travel bookings and expenses by weekly reporting.
Generate reports on travel activities and expenditures for management by submitting clearance to Finance
5. Visa and Documentation Management
Assist with visa applications and the preparation of required documentation
Stay updated on international travel regulations and restrictions.
6. Manage urgent travel requests outside office hours according to the shift schedule.
Ensuring timely response and seamless coordination for last-minute bookings, changes, or travel disruptions
Requirements:
Bachelor’s degree in Business Administration, Hospitality, Travel Management, or related field.
5–7 years of experience in travel coordination, travel operations, or a similar role.
Experience within the UAE/GCC and familiarity with regional travel procedures preferred.
Previous experience using travel booking systems is an advantage.
Strong knowledge of visa procedures, international travel regulations, and airline booking processes.
Excellent communication and negotiation skills.
Ability to multitask, prioritize, and manage time-sensitive travel requests.
Strong attention to detail and organizational skills.
Proficiency in MS Office (Excel, Word, Outlook).
Customer-service oriented with the ability to work under pressure.
Problem-solving skills and quick decision-making abilities.
