Job Overview

A-Better Heat & Air Conditioning, a trusted Oklahoma-based HVAC contractor with over 40 years of industry experience, is seeking a highly organised and proactive Senior Virtual Assistant to join our team. We are known for our exceptional service, providing a wide range of heating, ventilation, and air conditioning solutions. This is a Full-Time, remote position for a dedicated professional who will provide high-level administrative and operational support, ensuring the smooth and efficient running of our daily business activities. The successful candidate will be a cornerstone of our operations, enabling our technical team to deliver outstanding service to our clients.

Responsibilities

• Manage and coordinate complex schedules, appointments, and calendars for our team of field technicians, optimising routes and workloads.
• Serve as the primary point of contact for clients, handling enquiries by phone and email with exceptional professionalism and efficiency.
• Process service requests, accurately update customer information in our CRM system, and meticulously maintain client records.
• Assist with billing, invoicing, and the preparation of detailed quotes and business reports.
• Liaise with suppliers and technicians to coordinate parts, ensure timely dispatch, and facilitate the successful completion of jobs.
• Proactively identify and implement improvements to our administrative processes to increase efficiency and enhance the client experience.
• Provide comprehensive and confidential administrative support to senior management as required.

Qualifications

• Proven experience as a Senior Virtual Assistant, Executive Assistant, or Office Manager, preferably within a trade or service-based industry.
• Exceptional organisational and time-management skills, with a demonstrated ability to manage multiple priorities effectively in a fast-paced environment.
• Excellent written and verbal communication skills, with a keen eye for detail and accuracy.
• High proficiency in Microsoft Office Suite, Google Workspace, and experience using CRM and scheduling software.
• A proactive, self-starting attitude, with the ability to work independently with minimal supervision.
• Strong problem-solving skills and the ability to handle confidential information with the utmost discretion.
• A commitment to providing outstanding customer service.
